Role Overview
HR Executive
Key Responsibilities
1. Compensation & Benefits (Primary Responsibility)
- Manage and validate monthly compensation inputs including salary structures, CTC breakdowns, allowances, variable pay, and reimbursements.
- Provide timely payroll coordination inputs related to attendance, loss of pay (LOP), overtime, shifts, and statutory deductions to ensure accurate salary processing.
- Review and verify payroll reports to ensure
error-free salary processing
in coordination with Finance and HR Manager. - Maintain and update compensation-related MIS reports and dashboards (headcount, CTC, increments, variable payouts, etc.).
- Manage employee benefits such as PF, ESIC, Gratuity, Insurance, Bonus, and leave entitlements in line with statutory and company policies.
- Conduct internal audits of compensation and benefits components to ensure compliance with labour laws and company policy.
- Support salary negotiation discussions for offers, revisions, and internal moves within guidelines defined by the HR Manager.
- Assist in setting up and maintaining a structured, fair, and compliant increment framework and salary bands for different roles.
- Respond to employee queries on salary, deductions, income tax components, reimbursements, and statutory benefits in a timely and professional manner.
2. HR Compliance & Statutory Operations
- Maintain accurate and updated employee records, personal files, attendance and leave data, and HR databases across both locations.
- Ensure compliance with statutory requirements including PF, ESIC, Professional Tax, Shops & Establishments Act, Bonus Act, Gratuity Act, and other applicable laws.
- Coordinate statutory filings and returns with external consultants, auditors, and government authorities.
- Prepare compliance documentation, HR letters, notices, and audit reports; support internal and external HR / labour audits.
- Ensure HR policy adherence, maintain updated policy documents, and support implementation and communication across teams.
- Maintain confidentiality, accuracy, and proper archival of all HR files, contracts, and compliance documents.
- Assist in
POSH compliance
support – ensuring trainings, communication, and documentation are maintained as per law (in coordination with the Internal Committee / HR Manager).
3. HR Operations & HRMS Administration
- Manage day-to-day HRMS activities (e.g., GreytHR) including attendance, leave, master data updates, and workflow approvals.
- Coordinate with IT and Admin for creation/deactivation of IDs, email accounts, and access during joining and exit.
- Support periodic HR data clean-up, audits, and system improvements to ensure data accuracy and better reporting.
- Generate regular HR reports for management (headcount, attrition, joiners/exit, leave trends, overtime, etc.).
4. Recruitment & Onboarding Support
- Coordinate end-to-end onboarding: documentation, background checks, HR induction, and system setup.
- Publish job postings on job portals and social media as per hiring plan shared by HR Manager.
- Conduct initial screening of CVs, schedule interviews, manage interview coordination, and maintain candidate records.
- Prepare and issue offer letters, appointment letters, and related joining documentation.
- Maintain structured onboarding checklists to ensure 100% compliance, completeness, and a smooth joining experience for all new hires.
5. Exit Management & Employee Lifecycle
- Manage offboarding activities including resignations, exit interviews, full & final settlement coordination, documentation, and asset recovery.
- Maintain exit checklists and ensure all clearances, documentation, and settlements are completed within TAT.
- Capture and share exit feedback trends with the HR Manager for continuous improvement actions.
6. Employee Engagement, Communication & Grievance Handling
- Support employee engagement initiatives, team activities, celebrations, and culture-building programs at both locations.
- Address and route employee grievances related to compensation, HR policies, or workplace concerns with professionalism and empathy; escalate complex matters to the HR Manager.
- Promote awareness of HR policies, statutory guidelines, and compensation structures through regular communication and sessions.
- Contribute to a positive, transparent work environment built on trust and open communication.
Key Skills & Requirements
- Bachelor’s degree in HR, Commerce, or related field (MBA in HR preferred).
- Minimum 3 years of experience in compensation & benefits, HR operations, or payroll coordination.
- Strong understanding of salary structures, CTC components, statutory benefits, and Indian labour laws.
- Proficiency in MS Excel (VLOOKUP, Pivot Tables), HRMS tools, and documentation management.
- Hands-on experience with GreytHR and/or other HRMS systems is mandatory.
- Excellent communication, analytical, and problem-solving skills.
- High attention to detail, accuracy, and confidentiality in handling employee data.
- Ability to multi-task and manage HR operations across two locations.
