Job Description

Key Responsibilities: - Office Management: Maintain a clean and organized office environment, manage office supplies inventory, and ensure all office equipment is in working order. - Calendar and Schedule Management: Assist with scheduling meetings, appointments, and events, coordinating with team members and external partners as needed. - Document Management: Organize, store, and retrieve documents; prepare reports, presentations, and correspondence; ensure proper filing of documents, both physical and digital. - Communication Support: Answer and direct phone calls, respond to emails, and manage incoming and outgoing correspondence with a professional demeanor. - Travel Arrangements: Arrange travel itineraries, book accommodations, and handle related logistics for team members. - Data Entry and Record Keeping: Accurately input and maintain records, databases, and contact lists. - Support to Departments: Provide administrative support to various departments as needed, including preparing materials for meetings, assisting with project management tasks, and liaising with vendors. - Event Coordination: Assist in planning and coordinating company events, meetings, and workshops, ensuring smooth execution of logistics. Required Skills and Qualifications: - Education: High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus. - Experience: 1-3 years of experience in an administrative role, preferably within a similar industry. - Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with office management systems. - Communication Skills: Strong written and verbal communication skills. - Organizational Skills: Excellent organizational and multitasking abilities with attention to detail. - Problem-Solving: Ability to anticipate needs and troubleshoot issues proactively. - Time Management: Capable of managing multiple tasks with shifting priorities and deadlines.
