Role Overview:

  • We are looking for a Project Controls and Operations Analyst to be the "control tower" behind our projects
  • This is a mid-level, hands-on role that sits at the intersection of Delivery, Finance, and Operations

You will:

  • Make sure our projects, people, hours, and money all line up
  • Keep project and resource data clean and up to date
  • Drive the weekly rhythm of timesheets, allocations, and project health checks
  • You will work inside FIQ's internal project operations platform (and supporting tools) to onboard projects, track utilization and realization, reconcile actuals vs budgets, and ensure leaders have clear, reliable views of what's really happening across the portfolio
  • This is not a traditional project manager role
  • You won't run client status calls — you'll run the numbers and operations behind them

Key Responsibilities:

Project Controls & Financial Tracking

  • Own core project data: start/end dates, staffing, rate cards, budgets, and basic financial structure
  • Track and validate hours, cost, revenue, and margin across active projects
  • Monitor utilization and realization at individual, team, and project levels
  • Flag issues early (over-burn, low utilization, margin compression) and surface them to Delivery and Finance
  • Support leadership with recurring views on project performance and capacity

Time, Allocation & Data Hygiene:

  • Monitor timesheet completion and chase missing or incorrect entries across the company
  • Ensure hours are logged to the right project, phase, and task
  • Review who is allocated to what; identify over-allocated and under-utilized resources
  • Keep project, people, and allocation data in the system accurate and current on a weekly basis
  • Work with Delivery Leads and HR/Resourcing to align staffing plans with actual assignments

Operations Rhythm & Coordination:

  • Coordinate and support recurring ops meetings (e.g., weekly project health, utilization reviews, portfolio check-ins)
  • Prepare and share the right views, exports, or dashboards so conversations are decision-focused, not data-hunting
  • Capture follow-ups and ensure changes (allocations, project status, target hours, etc.) are reflected back in the system
  • Help standardize how we report project health and performance across practices

Systems, Reporting & Continuous Improvement:

  • Work daily in FIQ's internal project operations platform plus Excel/Sheets and reporting tools
  • Build and maintain simple, reliable reports and dashboards for leadership and practice heads
  • Spot patterns and suggest improvements to fields, workflows, checks, and reports that make project controls more robust
  • Partner with product/tech teams to evolve the platform based on real operational needs

Qualifications & Skills:

Must Have:

  • Bachelor's degree in business, Commerce, Finance, Engineering, IT, or a related quantitative field
  • 4-6 years of experience in a project-based environment (consulting, IT services, engineering, PMO, or similar)
  • Strong Excel / Google Sheets skills: Pivot tables, lookups (VLOOKUP/XLOOKUP), filters, basic formulas (IF, SUMIF, etc.)
  • Practical understanding of: Utilization, realization, billable vs non-billable hours
  • Basic project financials: cost, bill rate, revenue, margin
  • Demonstrated experience maintaining trackers, dashboards, or internal systems as a source of truth
  • Comfortable reminding and chasing people for timesheets, updates, and data corrections
  • High attention to detail, strong follow-through, and a bias for clean, consistent data

Nice to Have:

  • Experience with project / PSA / PMO tools (e.g., Jira, MS Project, Smartsheet, OpenAir, Kimble, or similar)
  • Exposure to Power BI or other BI/reporting tools
  • Prior work with Finance / FP&A / PMO teams on project reporting or margin analysis

What Success Looks Like in the First 90 Days:

By the end of Month 1:

  • You understand FIQ's core project types, practices, and basic rate structures
  • You have a clear picture of: All active projects and who is working on what
  • Our current timesheet, allocation, and reporting flows
  • You are already: Running weekly checks on timesheet completion
  • Actively chasing missing hours and obvious data gaps with guidance

By the end of Month 2:

  • You own: Weekly timesheet compliance view (who's late, who's missing, who's off)
  • A basic utilization view across people and teams
  • Data hygiene has improved noticeably: Fewer missing or incorrect project allocations
  • More consistent hours logging and project updates
  • You're helping run at least one recurring ops meeting, bringing clear views and written summaries

By the end of Month 3:

  • You own, end-to-end: A weekly view of hours, utilization, and early margin signals per project
  • A simple, standardized "traffic-light" style status from a controls perspective
  • You've suggested and implemented at least one or two improvements to our project controls process or reporting
  • Delivery and Finance teams see you as the go-to person for "what's really happening" across projects from an operations and numbers perspective

Requirements

Qualifications & Skills:
  • Bachelor's degree in engineering, Business, IT, or related field
  • 4 to 6 years of relevant experience in project controls, PMO, or project coordination roles
  • Proficiency in project management tools such as MS Project, Excel, PowerPoint, Azure DevOps and MS Planner
  • Strong analytical, documentation, and presentation skills
  • Excellent communication and stakeholder coordination abilities
  • Ability to multitask, prioritize, and work in a deadline-driven environment
