Mumbai office (Goregaon East)

Overview

The Business Operations Specialist will play an integral role in the maintenance of strong relationships across the ICS suite of offerings by supporting internal operations, including client entitlements, data integrity, as well as acting as a trusted team member to the Client Facing Team.A successful candidate will have an interest in data integrity and client service, and a desire to learn more about the Executive Compensation and ESG industry. The candidate must be service-oriented and possess excellent attention to detail as well as strong computer skills. Must be reliable, punctual, organized, and have a demonstrated ability to manage multiple priorities in a busy and fast-paced environment. You will own important processes from day one.

Shift hours : 11 AM to 8 PM IST

with flexibility to extend hours as needed by the business

Responsibilities

  • Handle client inquiries via the ICS Helpdesk, utilizing Outlook, Salesforce, and other internal tools with a client first perspective to guide prioritization and planning
  • Take ownership of the client entitlement and onboarding process, refreshing templates and materials to ensure a smooth and professional experience
  • Collaborate closely with the Global Operations team and provide support and/or back-up coverage when needed, including the processing of contracts as needed
  • Maintain clear and comprehensive audit trails for cases, emails, and phone calls from both internal and external stakeholders
  • Monitor quality control metrics to identify and resolve potential data issues, proactively looking for ways to boost accuracy and efficiency
  • Drive Salesforce maintenance and hygiene, partnering with internal teams to ensure data integrity and usability
  • Coordinate with other departments on ICS client resources or information.
  • Spearhead strategic data integrity initiatives, identifying and resolving inconsistencies to strengthen operational accuracy.
  • Oversee the integration of Salesforce with internal platforms, ensuring seamless data flow and system alignment.
  • Conduct targeted contact acquisition research to support outreach and engagement strategies.
  • Develop and deliver internal training modules to equip sales and client-facing teams with the tools and processes needed to navigate case submission, contract workflows, and Salesforce functionality effectively.
  • Contribute to product enhancement efforts, offering operational insights to improve client service and platform functionality.

Qualifications

  • Bachelor’s degree and 4–6 years of relevant experience; Master’s degree is a plus.
  • Demonstrated success in roles such as client-facing positions, office management, operational coordination, chief of staff, or strategic support roles.
  • Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities and stay proactive.
  • Collaborative mindset, with the ability to support and align with a diverse and fast-paced team, as well as confidence working independently to develop solutions.
  • Skilled in navigating CRM systems (Salesforce preferred) and related reporting.
  • Effective verbal and written communication skills, strong problem-solving abilities, professional presence, and high standards of integrity.
  • Proficiency in MS Office, including Outlook and Excel (including data transformation, VLOOKUP, and filtering).
