Job description for ERP executive
Base location: Mukkam, Kozhikode (Kerala)
Job summary:
The ERP executive will lead the strategic planning, implementation, and optimization of the institution’s ERP system, ensuring it supports academic, administrative, and operational excellence. The position requires a blend of technical expertise, stakeholder engagement, and project leadership to drive digital transformation across the KMCT Group of Institutions. This role involves working closely with departments such as admissions, academics, finance, HR, administrative department, examination cell, student services, etc. to ensure the ERP platform enhances institutional efficiency, and user experience. Educational qualifications:
B.E. / B.Tech. in Computer Science & Engineering / Information Technology
Diploma in Computer Engineering/B Sc. Computer Science/Bachelor of Computer Applications
M.Sc. in Computer Science / Information Technology/ Information Systems (or) Master of Computer Applications will be an added advantage
Experience requirements:
Minimum 5 years of IT and Systems Management experience with 2-3 years hands-on experience in implementing and managing ERP systems in Higher Educational Institutions, or similar migration projects.
Experience in project coordination, vendor management, system customization and user training.
Hands-on experience with business process mapping, project planning, execution and control; sound understanding of ERP such as Microsoft Dynamics 365 or SAP, CRM, DMS, SharePoint, HRMS, SCM implementation and related integration; experience with various collaboration platforms such as Microsoft Teams, Microsoft Office, Microsoft Project, IT tools, media asset management and similar ones.
Exposure to cloud infrastructure and migration, and integration with various software solutions
Key responsibilities:
1. ERP Implementation • Coordinate with the vendor and support the end-to-end implementation of ERP systems, configuration, testing, and rollout. • Coordinate with the internal teams, and stakeholders to ensure timely and successful deployment. • Monitor post-implementation performance, user adoption, and issue resolution.
2. ERP System Management • Ensure smooth performance and availability of the ERP system across all departments and institutions. • Lead ERP module enhancements, and integrations with third-party platforms (if needed). • Ensure robust role-based access controls, audit-compliant user logs, and segregation of duties. • Govern configuration changes, workflow design, and system parameter tuning. • Manage system backup, disaster recovery planning, and business continuity strategies. • Evaluate and implement emerging ERP technologies and tools to improve system capabilities.
3. Data Governance & Reporting • Ensure master data integrity, consistency, and synchronization across all ERP modules. • Define and enforce data governance policies, including data ownership and stewardship. • Monitor system security, data privacy, and compliance with institutional and regulatory IT policies. • Develop and maintain dashboards and reporting tools for real-time insights and decision-making. • Collaborate with departments to define KPIs and reporting requirements. • Support predictive analytics and business intelligence initiatives using ERP data.
4. Stakeholder Engagement & Training • Collaborate with academic and administrative stakeholders to align ERP functionalities with institutional workflows. • Define and document Standard Operating Procedures (SOPs) for ERP usage across departments. • Facilitate the delivery of role-specific training programs and onboarding sessions for ERP users. • Develop and implement change management strategies to ensure smooth transitions during upgrades or process changes. • Bridge communication between technical teams and end-users to translate business needs. • Conduct regular feedback sessions and user satisfaction surveys to identify improvement areas.
5. Project & Vendor Management • Lead ERP implementation by ensuring alignment with timelines and budgets. • Evaluate and monitor service-level agreements (SLAs). • Identify project risks, develop mitigation plans, and ensure timely resolution of issues. • Maintain a project portfolio dashboard to track progress, resource allocation, and ROI.
6. Compliance, Audit & Documentation • Conduct periodic system audits to ensure compliance with internal policies and external regulations. • Maintain comprehensive documentation including business requirements, technical specifications, workflows, test cases, and user manuals as needed. • Ensure version control and accessibility of documentation for stakeholders and auditors. • Implement IT governance frameworks and participate in institutional accreditation processes. • Prepare audit reports and present findings to senior leadership.
7. Strategic Planning & Innovation • Contribute to the institution’s digital transformation roadmap by aligning ERP capabilities with strategic goals. • Identify opportunities for automation, process reengineering, and system optimization. • Benchmark ERP performance and practices against peer institutions and industry standards. • Participate in strategic IT planning, budgeting, and resource forecasting. • Advocate for technology adoption and innovation across the KMCT Group of Institutions.
