Job Title: Operations Manager – Kiosk Manufacturing, Logistics & Office Coordination
Location: Bengaluru, India

Reporting To: CEO / Directors
Position Overview The Operations Manager will be responsible for end-to-end operational management of kiosk manufacturing, logistics, vendor coordination, and day-to-day administrative functions between the corporate office and factory. This role demands a highly disciplined, hands-on, and process-driven professional who can seamlessly bridge the gap between management, production, and ground operations. The individual will work closely with the CEO and other Directors to ensure that every kiosk project — from design to dispatch — meets XIPHIAS’ strict quality and delivery standards.
This is a full-time, on-site position that requires frequent travel between the corporate office, factory, vendor locations, and client sites (within India and abroad).
Key Responsibilities
Factory & Manufacturing Coordination .Coordinate daily with the factory team to track kiosk manufacturing progress — from raw material procurement to final assembly, branding, packaging, and dispatch.
Supervise factory operations to ensure adherence to quality standards, safety norms, and production timelines.
Monitor production schedules, manpower allocation, and ensure components like touch screens, CPUs, printers, and biometric devices are available on time.
Collaborate with the design and R&D team to implement process improvements for better efficiency and cost optimization.
Conduct factory audits and prepare periodic performance and production reports for management review.
Note: A minimum of 5 years of experience in factory operations is mandatory for this role. Candidates without factory coordination or production background should not apply.
Corporate Office & Factory Coordination Act as the primary liaison between the corporate office and the factory, ensuring all internal communications, project instructions, and management decisions are executed smoothly.
Attend coordination meetings with senior management and translate key decisions into actionable production or logistical plans.
Maintain clear records of communications, production updates, and project milestones.
Coordinate inter-departmental requirements related to accounts, logistics, HR, and procurement.
Manage daily reporting structures, ensuring information flows efficiently between office and factory teams.
Vendor & Logistics Management Oversee and manage all vendor relationships — including fabrication units, branding partners, logistics providers, and component suppliers.
Negotiate rates, monitor vendor performance, and ensure adherence to company timelines and quality standards.
Plan and execute logistics for both domestic and international dispatches (Air, Sea, and Road).
Coordinate with freight forwarders, prepare export documentation (invoice, packing list, airway bill, etc.), and ensure on-time delivery.
Track shipments in real-time and resolve any delays or transport issues proactively.
Branding & Finishing Supervision Coordinate with branding vendors for kiosk painting, wrapping, or vinyl branding as per client specifications.
Ensure branding and finishing work is done with precision and approved by management before dispatch.
Maintain quality control checklists and ensure every kiosk matches XIPHIAS’ design and branding standards.
Office & Administrative Operations Manage daily office operations, administrative coordination, and internal documentation.
Ensure proper discipline, attendance, and operational workflow among office and factory teams.
Maintain reports for approvals, payments, vendor invoices, dispatch schedules, and AMC tracking.
Assist in preparing operational budgets, MIS reports, and management dashboards.
Travel & On-Site Coordination .Be open to frequent travel between factory and office, as well as to client locations across India and abroad.
Must possess a two-wheeler (bike) for local commuting between office, vendors, and factory.
Visit vendors and logistics partners as required for inspection, coordination, or negotiations.
Skills & Competencies Factory Operations Expertise: Minimum 5 years of hands-on experience in managing or coordinating manufacturing operations (electronics, kiosks, or related industries preferred).
Communication Skills: Must be fluent in English, Hindi, and Kannada; knowledge of Tamil or Telugu will be a strong advantage.
Analytical & Research Skills: Ability to perform data-driven analysis, vendor performance evaluation, and operational research for cost optimization.
Leadership & Coordination: Strong ability to manage multiple teams, enforce discipline, and maintain high accountability levels.
Discipline & Attendance: The candidate must have a strong sense of responsibility, avoid frequent or sudden leave applications, and maintain professional conduct.
Technology & Reporting: Proficient in MS Excel, Word, Google Sheets, ERP tools, and digital tracking systems.
Negotiation & Decision-Making: Skilled in dealing with vendors, transporters, and external agencies with firmness and clarity.
Key Performance Indicators (KPIs)Timely completion of manufacturing and dispatch targets.
Quality compliance with minimal rework or rejection.
Cost reduction through optimized vendor and logistics management.
Efficient coordination between factory and office teams.
High discipline, attendance, and team accountability.
Educational Qualification Bachelor’s degree in Engineering / Operations / Business Administration / Supply Chain or equivalent.
Postgraduate qualification (MBA in Operations or Supply Chain) will be an added advantage.
