Job Description:
Key Roles:
· Handle all the communication/correspondence related to the desk for CEO/COO.
· Calendar and Travel Management, Meeting Support, Time Management.
· Document Preparation, Expense Management and Office Operations.
· Research, project assistance liaison. Act as a gatekeeper.
Roles & Responsibilities:
1. Demonstrates excellent communication, strategic thinking, analytical skills, interpersonal abilities, operational acumen, and leadership qualities.
2. Set up and maintain the, remind to accommodate unexpected changes in priorities or work schedules.
3. Demonstrates excellent communication, strategic thinking, analytical skills, interpersonal abilities, operational acumen, and leadership qualities.
4. Schedule staff or committee meetings and make all necessary arrangements relating to time, date and place.
5. Take and transcribe dictation and compose replies to a wide variety of communications when information required is factual in nature or involves matters of established policies or procedures, may refer correspondence or reports to other members of the staff for information or reply.
6. Establish and maintain office files and records and assemble information from these and other sources in response to requests made by the supervisor from time to time.
7. Maintain familiarity with established procedures for clearing correspondence, developing or forwarding reports and obtaining services supplies or temporary office help and provide or take action necessary to meet the day to day operating needs of the office.
8. Make travel arrangements for the supervisor by making flight and hotel arrangements notifying organizations and individuals of the arrangements, coordinating contacts en-route and preparing travel vouchers and reports upon return.
9. Analyze and provide all the required management information reports to the supervisor.
10. Research, Prioritize and follow up on multiple issues and concerns addressed to the supervisor including those of a sensitive and confidential nature.
11. Prepare special onetime reports, summaries or reply to inquiries, select relevant data from a variety of sources.
12. Act as the primary point of contact for both internal and external constituencies on all matters pertaining to the office of the CEO and assists and represent the CEO in communicating with constituents.
13. Oversee and coordinate the day to day operations of the office to include management and training of staff, scheduling and prioritizing work assignments and implementation of effective operating policies, procedures and systems.
14. Department presentations, training and related function. Maintain confidentiality of all matters.
