Role Overview

Senior HubSpot Operations Specialist

Key Responsibilities

Sales Enablement & CRM Optimization

  • Map and mirror sales processes in HubSpot including deal stages, pipeline structuring, and team-based routing.
  • Ensure clean, deduplicated, and accurate data migration and hygiene across lifecycle stages.
  • Set up and optimize

    lead capture forms

    with smart fields and behavior-based triggers.
  • Build

    automated sequences

    for follow-ups, lead nurturing, and internal notifications.
  • Integrate email tracking and calendar tools for seamless outreach and meeting scheduling.
  • Track sales agent performance through

    custom reports and dashboards

    , forecasting deal closures and pipeline health.
  • Design and implement

    lead scoring models

    based on behavior, engagement, and source.


Marketing Automation & Content Execution

  • Create workflows for lifecycle emails, personalized campaigns, and AI-enhanced nurture flows.
  • Lead the use of

    HubSpot AI (e.g., Breeze)

    to automate:
  • Email generation
  • Smart content recommendations
  • Deal forecasting
  • Lead prioritization
  • Workflow decision branches
  • Drive

    SEO and data insights

    with integrated reporting and analytics dashboards.
  • Set up AI chatbots, content recommendation modules, and personalization tokens for better engagement.
  • Collaborate with design, content, and performance teams to create scalable, multi-touch campaigns.


AI Integration and Custom Workflow Engineering

  • Use

    HubSpot’s AI Workflows

    and

    Breeze

    to define triggers, suggest actions, and personalize experiences.
  • Build and test AI-enhanced automation for:
  • Email generation and task creation
  • Customer segmentation and tagging
  • Smart decision trees based on user behavior
  • Optional: integrate with

    third-party AI tools

    (ChatGPT via Zapier, Drift, Clearbit, Clay) to enrich workflows and automate growth ops.


Analytics, Reporting & Insights

  • Build custom dashboards across Sales and Marketing hubs for executive reporting and daily operations.
  • Track metrics such as:
  • Lead-to-deal velocity
  • Email engagement
  • Pipeline movement
  • Campaign ROI
  • Sales rep productivity
  • Present insights and recommendations to improve efficiency, conversion, and alignment.


Must-Have Skills

  • 4+ years of deep hands-on experience with

    HubSpot Enterprise

    (Sales, Marketing, and Content Hub).
  • Expertise in:
  • Sales pipeline configuration
  • Deal forecasting and sales enablement
  • Workflow automation and lead scoring
  • AI-powered content and marketing operations
  • Strong understanding of inbound marketing, lead lifecycle management, and customer journey automation.
  • Comfortable creating complex reports and collaborating cross-functionally with sales, content, and digital teams.
  • Analytical mindset with a passion for clean data, scalable systems, and smart automation.


Desirable Skills

  • HubSpot Certifications: Marketing Software, Sales Hub Implementation, Workflow Automation, AI in Marketing.
  • Experience working with global B2B teams, SaaS clients, or high-volume content operations.
  • Familiarity with tools like Drift, Clay, Zapier, Clearbit, ChatGPT, or Salesforce integrations.
