  • Regulatory Compliance Management - Monitor and Interpret Regulations: Continuously monitor and stay up to date with changing transportation regulations with special focus to employee transportation through service providers, including Department of Transportation (DOT) regulations, Occupational Safety and Health Administration (OSHA) rules, Environmental Protection Agency (EPA) guidelines, and state-specific transportation laws.
  • Regulatory Compliance Management - Ensure Compliance: Define compliance checklist (as per approved standards/ existing rules & regulations) & adherence to all approved regulations for employee transport operations including vehicle fleets, drivers, and other support staff bridging MNC regulations & site/ location specific regulations. This includes ensuring that required documentation (driver logs, vehicle inspection reports, permits) is accurate and up to date.
  • Regulatory Liaison - Gather information from competent authority/ sources to ensure that communication on latest developments/ policies is efficient and all compliance requirements are met in a timely manner. Requisite documentation to be prepared, approval from competent authority be obtained & requisite guidelines be framed & implemented.
  • Vehicle Inspections - Ensure all employee transportation vehicles meet all laid down regulations, safety and emissions standards. Oversee regular vehicle inspections and manage records of inspection outcomes.
  • Fleet Maintenance Oversight - Monitor the maintenance schedules of the employee transportation vehicle fleet to ensure vehicles are in safe working order, minimizing downtime and reducing the risk of regulatory violations & impact to employee transportation.
  • Safety Compliance - Oversee the implementation of mandatory vehicle safety features and technologies related to employee transportation, ensuring that all vehicles comply with the latest safety standards (GPS tracking, electronic logging devices (ELDs), and vehicle maintenance tracking systems).
  • Driver Certification and Training - Ensure all drivers hold valid certifications, such as valid Motor Driving License (MDL's)/ Commercial Driver’s Licenses (CDLs) and any necessary endorsements to execute employee transportation. Support L&D department to develop and implement various training programs to maintain compliance with safety standards, and other industry-specific skills.
  • Driver Hours of Service - Ensure compliance with Hours of Service (HOS) regulations by monitoring driver log books, other local data maintaining systems and ELD data. Investigate any potential violations and intimate concerned authority to take corrective action where necessary.
  • Background Checks and Driver Safety - Oversee the screening process for new drivers, including background checks, drug and alcohol testing, and physicals, ensuring all drivers comply with regulatory standards.
  • Accident and Incident Response - Investigate accidents and safety incidents. Assist in preparation of incident reports, analyzing the cause of accident/ s, and draw requisite recommendations to implement/ suggest corrective measures to prevent recurrence.
  • Safety Policies and Procedures - Develop and implement safety policies, such as vehicle inspection procedures, driver safety guidelines, accident reporting procedures, and emergency protocols. Ensure compliance with both internal policies and external regulations.
  • Accident Prevention Programs - Create and promote ongoing safety programs to reduce accidents, injuries, and violations. Provide training to employees on defensive driving, accident prevention, and emergency response protocols.
  • Internal Compliance Audits - Conduct regular internal audits and inspections to ensure that the employee transport operations comply with industry regulations and internal policies. Review safety records, maintenance logs, driver qualifications, and operational processes.
  • Maintain Regulatory Documentation - Ensure that the approved service providers maintain all regulatory documents, such as vehicle registrations, insurance certificates, driver qualifications, and safety inspections related to employee transportation are well-organized, accessible, and up-to-date.
  • Prepare for External Audits - Lead preparations for external audits through service providers in accordance to the organizational processes by regulatory authorities (DOT inspections) if any incorporating the organizational policies. Coordinate the collection and presentation of necessary documents, ensuring that all regulatory standards are met.
  • Regulatory Reporting - Prepare and submit all necessary regulatory reports on time, such as ELD data, driver compliance records, and vehicle inspection reports through coordination with Service providers as deployed by the operations department. Ensure that all required filings are completed in accordance with local, state, and federal regulations.
  • Compliance Metrics and Analysis - Develop and monitor compliance-related key performance indicators (KPIs), such as accident rates, vehicle downtime, Hours of Service (HOS) violations, and audit findings specific to employee transportation. Analyze trends and prepare detailed reports on compliance performance & adherence.
  • Incident and Violation Tracking - Maintain a comprehensive record of all violations, accidents, and compliance-related issues, tracking corrective actions taken and outcomes.
  • Vendor Audits and Compliance Monitoring - Oversee the compliance of service providers. Conduct regular audits to ensure they meet the approved safety regulations and compliance standards related to employee transportation.
  • Contract Management - Ensure that employee transportation contracts include compliance clauses and that service providers are accountable for their regulatory obligations.
  • Training Programs - Assist the L&D department to develop and deliver training programs on compliance, safety protocols, and regulatory requirements related to employee transportation. Ensure that all employees, especially drivers and support staff, are educated on the latest compliance requirements.
  • Ongoing Education - Assist L&D department to create an ongoing education program to keep employees informed of any updates or changes to transportation laws, safety regulations, and internal compliance processes.
