Role Overview
We are looking for a proactive and security-focused IT Administrator to own our internal technology operations. You will manage the full lifecycle of our IT assets (from procurement to remote wiping), support our team with technical issues via remote desktop tools, and act as the gatekeeper for our SaaS subscriptions. You will ensure our staff has the tools they need—securely and cost-effectively—while minimizing "shadow IT" and wasted budget.
Key Responsibilities
- IT Asset Lifecycle Management
- Inventory Control: Maintain a real-time, accurate ledger of all IT hardware (laptops, peripherals) including serial numbers, user assignments, and physical locations.
- Procurement & Logistics: Manage the procurement of new devices and handle the logistics of shipping equipment to remote staff and retrieving assets from offboarded staff
- Maintenance & Disposal: Coordinate hardware repairs with vendors and oversee the secure, compliant disposal or recycling of obsolete equipment.
- Budget Planning: Periodically review the aging of laptop fleets (refresh cycles) and forecast budget requirements for upcoming replacements to avoid technical debt.
- User Onboarding & Offboarding
- Onboarding: Ensure "Day 1 Readiness" for all new joiners by setting up accounts, provisioning hardware, and ensuring access to necessary tools prior to their start date.
- Offboarding: Execute secure offboarding procedures immediately upon staff exit, including revoking access, locking devices, and arranging asset retrieval.
- Security Training: Initiate Security Awareness Training modules for all new hires and track progress to ensure 100% completion within the onboarding window.
- Access Management & Security
- SaaS Administration: Manage user accounts and permissions across our core stack, specifically Google Workspace (GSuite), Slack, Notion, and Bitwarden
Requirements
- Experience: 2+ years of experience in IT Administration, IT Operations, or a similar role
- Technical Proficiency:
- Deep expertise in Google Workspace (GSuite) administration (Users, Groups, Security settings).
- Experience managing Slack, Notion, and Bitwarden (or similar password managers) in an enterprise environment.
- Familiarity with both macOS and Windows environments.
- Asset Management: Proven experience managing hardware logistics (shipping/customs) and inventory tracking
- Security Mindset: Understanding of basic information security principles (SOC2 compliance awareness is a plus)
- Soft Skills:
- Excellent communication skills (ability to explain technical concepts to non-technical staff).
- High attention to detail and organizational skills.
- Trustworthy and discreet (you will handle sensitive data).
Nice to Have
- Experience with MDM tools (e.g., Jamf, Kandji, or Intune).
- Previous experience working in a Tech company with a remote-first or hybrid startup environment
