We are looking for a dynamic and energetic Back Office Sales Executive who can drive internal sales processes, manage documentation, and enhance productivity using digital and AI tools, while providing critical support to the field sales and management teams.
Position Objective:
The role is designed for a high-performance individual who can manage sales operations, client coordination, documentation, and CRM systems from the back office while supporting business development efforts. The candidate will play a central role in streamlining sales communications, managing databases, and ensuring smooth customer experiences from inquiry to delivery.
Key Responsibilities:
📞 Sales & Client Interaction
Make cold calls to potential customers and follow up with existing leads
Handle customer inquiries and respond with professionalism and persuasion
Conduct preliminary qualification of leads and pass on hot leads to sales team
Demonstrate excellent negotiation and communication skills
🧾 Quotation, Invoicing & Documentation
Prepare price quotations based on standard formats or in collaboration with sales managers
Create and manage invoices, proformas, and delivery challans
Draft commercial correspondence, technical product specs, and tender documentation
Ensure documentation is updated, accurate, and aligned with company standards
💻 CRM & Digital Tools Management
Manage customer databases and sales pipeline using CRM tools (Zoho CRM, Salesforce, etc.)
Track status of inquiries, follow-ups, and client responses
Use AI and productivity tools (ChatGPT, Notion, Trello, etc.) to automate repetitive tasks and streamline workflows
📑 Sales Support & Reporting
Coordinate with field sales team to provide support material, presentations, and documents
Maintain records of communications, quotations, and order confirmations
Prepare regular MIS reports and dashboards for management review
📚 Product & Specification Management
Assist in preparing technical datasheets, product specifications, and comparison charts
Organize marketing materials, catalogs, and promotional documentation
Support in creating product presentations for internal and external use
🧾 Accounts Support (Preferred)
Assist with basic accounting entries, payment follow-ups, and invoice reconciliation
Coordinate with finance team for vendor bills, TDS/GST compliance, and payment tracking
Candidate Profile:
Minimum 1 year of experience in back-office sales or sales coordination
Graduate in Commerce, Business Administration, Engineering, or related field
Excellent command of spoken and written English
Strong persuasion, negotiation, and communication skills
Proficiency in MS Office (Excel, Word, PowerPoint), Google Workspace
Experience using CRM platforms (Zoho, HubSpot, Salesforce, etc.)
Comfortable using AI tools and digital automation platforms
Knowledge of Tally or accounting software (preferred but not mandatory)
Attention to detail, multitasking, and documentation accuracy are critical
