Job Description – Senior Human Resource Executive (Sr. HR) Location: Kochi (Inter-branch travel required) Employment Type: Full-time | 9:30 AM – 5:30 PM Experience: Minimum 2 years in HR Operations, Recruitment, Payroll, Statutory Compliance & Employee Relations Education: Any Graduation (MBA HR preferred but not mandatory) ________________________________________ About the Role The Senior HR Executive will be responsible for end-to-end HR operations, ensuring smooth functioning across recruitment, onboarding, statutory compliance, payroll coordination, employee engagement, performance monitoring, and exit management. The role requires a highly organized, detail-oriented, and people-driven professional who can uphold Cigma’s standards, values, and compliance requirements across all branches. ________________________________________ Key Responsibilities 1. Recruitment & Talent Acquisition • Manage vacancies end-to-end, including requirement collection, posting, screening, and interview scheduling. • Coordinate with TLs for planned and urgent hiring needs. • Conduct HR rounds, technical coordination (for trainers), salary negotiation, and final selection. • Share job postings with the Marketing Team for LinkedIn, social media, and portals. • Maintain communication with candidates and ensure a smooth hiring cycle. ________________________________________ 2. Onboarding & Induction • Prepare Offer Letters post management approval. • Ensure CRM entry, login creation (CRM, Payroll Master, Outlook), and documentation. • Conduct complete HR Induction covering policies, working culture, KPIs, PMS, and systems. • Collect and verify all employee documents and maintain secure HR records. • Handle NDA signing within 2 days of joining. • Coordinate police verification for drivers and compliance-related onboarding requirements. ________________________________________ 3. Attendance, Payroll & Salary Processing • Oversee attendance cycle (26th–25th) using MyPayrollMaster & CRM. • Ensure regularization deadlines, verification, and coordination with Great Leap and Finance. • Submit monthly attendance input before timelines. • Verify and confirm salary processing and ensure timely salary disbursal. • Upload salary slips to CRM within 8 working days and maintain audit-backed records. ________________________________________ 4. Statutory Compliance • Coordinate monthly ESI/EPF processing with Great Leap and Finance. • Submit new employee details before the 9th of every month. • Maintain and update the Statutory Tracker Sheet. • Assist in yearly renewals (PT, Shop License, Labour License, Holiday Calendar). • Ensure timely compliance review and team training. ________________________________________ 5. Employee Engagement & Performance Monitoring • Maintain daily Point System, Highlights/Lowlights, and monthly Best Employee tracking. • Conduct Employee Engagement activities (last Friday/Saturday of the month). • Arrange rewards (₹2000) in coordination with Finance. • Handle employee grievances with sensitivity, confidentiality, and appropriate solutions. • Support performance evaluation and generate Probation Confirmation after reviews. ________________________________________ 6. Meetings & Reporting • Conduct weekly, monthly, quarterly, and annual HR meetings as per schedule. • Prepare and circulate Minutes of Meetings. • Provide HR updates to management and ensure execution of action points. ________________________________________ 7. Policy Implementation & Communication Etiquette • Ensure adherence to dress code, communication protocols, and login ID security. • Educate employees regularly on policy changes and compliance guidelines. • Maintain professional communication across calls, emails, and WhatsApp. • Manage official call handling, call diversion, away messages, and escalation processes. ________________________________________ 8. Exit & Offboarding • Manage resignation cycle, LWD approval, handover processes, and No Dues issuance. • Conduct exit interviews and document feedback. • Deactivate employee system access securely. • Ensure full compliance with offboarding SOP. ________________________________________ 9. Events, Training & CSR Coordination • Assist in planning and executing company events, training programs, and CSR activities. • Collaborate with management on policy creation, training modules, and process improvements. ________________________________________ Skills & Competencies Required • Strong communication skills (spoken & written). • Excellent organizational and documentation capabilities. • Proficiency in MS Excel, CRM systems, and HR tools (Payroll Master, Outlook). • Knowledge of statutory compliance (ESI, EPF, PT, Labour Laws). • Conflict resolution and employee relations skills. • Ability to manage confidential information with integrity. • Multitasking ability and strong follow-up discipline. ________________________________________ What We Offer • Competitive salary – 30 K to 35 K CTC • Professional work environment aligned with corporate HR standards • Opportunities for growth, leadership, and continuous learning • Exposure to multi-branch HR operations
