Job Role- Operations Manager

As an Operations Manager, you will be primarily responsible for ensuring the smooth and efficient execution of end-to-end order processing. Your key responsibilities will include:

  • Maintaining an Efficient Order Planning Rate: Streamline and oversee order planning processes to meet or exceed established efficiency benchmarks.
  • Achieving a High Order Accuracy Rate: Implement and monitor quality control procedures to minimize processing errors and ensure all orders are fulfilled accurately.
  • Ensuring On-Time Delivery Rate: Ensure that order processing flows according to planned target dates, enabling timely dispatch and delivery as per customer and business expectations.

In addition, you must have an experience of handling a big team. As you have to lead and manage a team of at least 20 team members, ensuring optimal team performance and alignment with operational goals.

As an operations manager you are proactive and responsible leader who plays a key role in cultivating a positive and inclusive workplace culture. One who consistently work to maintain high team spirit through positive reinforcement, clear communication, and continuous motivation. A manager aligns team efforts with the organization’s goals, making decisions that support both individual development and overall organizational growth.

1. Order & Production Coordination

Conduct detailed discussions with the sales and design teams to understand custom order requirements, timelines, and client expectations.

Plan and coordinate production schedules, including engraving and UV printing jobs, ensuring timely delivery.

Monitor progress and ensure smooth execution of all customer orders with high quality standards.

2. Staff Support & Operational Oversight

Provide day-to-day support and solutions to staff for operational challenges.

Act as the first point of escalation for team queries and workflow bottlenecks.

Coordinate across departments (design, production, dispatch) to ensure interdepartmental alignment and accountability.

3. Customer Escalation Management

Handle customer complaints and escalations professionally, ensuring prompt resolution and client satisfaction.

Identify root causes of issues and implement preventive measures to avoid recurrence.

Maintain strong customer relationships through regular communication and feedback.

4. Workforce Management

Monitor and manage staff attendance, leaves, and shift scheduling.

Conduct regular team reviews and provide performance feedback.

Plan and execute training programs to enhance team skills and operational efficiency.

Promote a culture of continuous improvement and professional development.

5. Job Planning & Resource Allocation

Oversee the planning and scheduling of engraving and UV jobs to optimize machine and manpower utilization.

Ensure availability of required resources, tools, and materials for uninterrupted operations.

6. Costing & Budget Management

Oversee and validate costing for moulding and related production tasks.

Work with the finance team to track expenses and ensure adherence to budgets.

Recommend cost-saving initiatives without compromising quality.

7. System & Portal Management

Use the DRL Ariba portal for ANS (Advance Shipping Notices) and invoice uploads.

Ensure timely and accurate data entry and document submission for smooth transaction processing.

8. Quality Control & Compliance

Ensure all operations meet internal quality standards and customer specifications.

Maintain compliance with , SOPs, and company policies.

Conduct periodic audits to check for process gaps and rectify them promptly.

9. Reporting & Continuous Improvement

Generate and review daily/weekly/monthly operational reports to track KPIs.

Collaborate with management to drive strategic initiatives and operational excellence.
