Position Overview:
The Manager, HR Shared Services is responsible for providing support and implementing service delivery strategy to the assigned regions and other crucial internal stakeholders such as Finance and Compliance. Ownership and processing of US, Canada payroll and other EMEA based payrolls is a key function of this role. The ability to build strong partnerships with assigned regional and global HRBPs is essential. To meet agreed upon service level agreements with a high degree of accuracy and actively participate in initiatives to support HR processing efficiencies, as well as provide relevant and timely reporting on a number of topics. Responsibilities also include the continuous development of the HR Shared Services function and fostering a positive, collaborative, culturally diverse working environment, striving to improve and harmonize critical HR functions.
Duties/Responsibilities:
Global Payroll & Compliance
- Lead and run global payroll operations, including process governance, legal/regulatory requirements and SOP creation for the US, Canada and EMEA regions.
- Ensure accurate and timely processing of US, Canda, Swedish and UK payrolls with scope to gain knowledge of additional regions when needed.
- Understanding of Italian payroll.
- Oversee year-end filing requirements (W2, ACA, P60 etc.) and quarterly US state compensation filings.
- Maintain comprehensive and accurate, audit-ready documentation
- Ensure end-to-end compliance with regional labor laws and dynamic tax regulations, including timely handling of monthly state tax notices and coordinating required updates or corrective actions
- Partner with external payroll vendors (e.g., ADP, Managed Service providers) for accuracy, reporting, and issue resolution.
- Demonstrate a keen and comprehensive approach to payroll, with a perceptive and intuitive approach.
HR Budgeting & Financial Reconciliation
- Reconcile payroll and HR-related general ledger entries; support journal entries and variance analysis.
- Prepare monthly HR cost and headcount reports for Finance review.
- Lead HR budgeting and forecasting in close partnership with the Finance team and in collaboration with regional HRBPs.
Team Collaboration & Governance
- Conduct regular syncs with HR teams across geographies (HRBPs, Payroll, TA, and Finance) to align processes and resolve escalations.
- Support employee lifecycle activities — onboarding, offboarding, transfers, and cross-border mobility.
- Partner with HRBPs to enhance employee experience and ensure consistent service delivery across regions.
- Support HR policy rollout and compliance tracking across countries.
HR Systems, Reporting & Analytics
- Maintain global HR dashboards and support HR data analytics for leadership reporting.
- Partner with Global HR Operations on data accuracy, trend insights, and process metrics.
- Manage the HR intranet content for up-to-date policies, templates, and resources.
- Managing and processing HR invoices in collaboration with the Finance team, in line with the approved budget.
HR Operations & Shared Services Management
- Manage HR shared-service mailboxes (HR inbox/Dropbox emails), ensuring timely response and closure of employee queries as per defined SLAs.
- Develop and implement knowledge base/response templates to streamline query management.
- Drive HR process standardization, automation, and continuous improvement initiatives.
- Maintain accurate employment records, data integrity, and document management in ADP and other HR systems.
- Manage and monitor HR SLAs, reporting metrics, and dashboard analytics.
Education and Experience:
- Bachelor’s Degree in HR, Business Administration, or related field required; MBA preferred.
- Minimum 7+ years of experience in Global HR operations or shared services, with at 2 years in a managerial capacity is good to have.
- Experience of at least 5 years in global payroll management (US/Canda/EMEA) and HR budgeting is essential.
- Strong working knowledge of HR systems (ADP, SharePoint, etc.) and Excel-based reconciliation.
- Understanding of US federal/state employment laws; familiarity with EMEA and Canada compliance is a plus.
- Excellent written and verbal communication across different cultures, stakeholder management, and process governance skills
