Position Overview
The HR & Administration Executive
will be responsible for managing a blend of human resources and administrative functions to ensure smooth day-to-day office operations and a positive employee experience. The role involves supporting recruitment activities, employee engagement, facilities and vendor management, procurement, IT asset tracking, and general office administration.
Key Responsibilities
- Recruitment & Onboarding
- Coordinate end-to-end recruitment activities including sourcing, screening, scheduling interviews, and managing candidate communication.
- Support HR in maintaining recruitment trackers, offer letters, and joining formalities.
- Prepare onboarding kits, ensure workspace readiness, and assist with new employee orientation.
- Employee Engagement & Events
- Plan and execute employee engagement programs, celebrations, and welfare initiatives.
- Coordinate logistics for team events, offsites, and cultural activities.
- Partner with HR and leadership to promote a positive and inclusive workplace culture.
- Administration & Office Operations
- Oversee day-to-day office operations including maintenance, housekeeping, and utilities.
- Manage office inventory, petty cash, and administrative expenses.
- Ensure workplace hygiene, safety, and compliance with facility standards.
- Procurement & Vendor Management
- Handle procurement of office supplies, IT equipment, and services within approved budgets.
- Identify and onboard vendors, negotiate contracts, and manage billing and payments.
- Act as the Single Point of Contact (SPOC) for all vendor-related coordination.
- IT Equipment & Asset Management
- Coordinate with IT teams for hardware procurement, setup, and maintenance.
- Maintain an updated IT asset register; track issuance and return during onboarding/offboarding.
- Support employees with IT equipment allocation and basic troubleshooting coordination.
- Travel & Logistics
- Arrange travel and accommodation for employees and management.
- Manage approvals, bookings, and vendor coordination for transport and travel needs.
- Coordination & Reporting
- Provide administrative and HR operational support to leadership teams.
- Assist in preparation of HR reports, employee data, and internal communication.
- Support cross-functional coordination between HR, Finance, and Operations.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- 3–6 years of experience in HR and Administration roles.
- Exposure to recruitment, office management, and vendor coordination.
- Proficiency in MS Office (Excel, Word, PowerPoint); familiarity with HR tools preferred.
