Job Title: HR cum Admin Executive Department: HR & Administration Location: Store-Based Reporting To: Store Manager / Business Owner Employment Type: Full-time ⸻ 1. Job Summary The HR cum Admin Executive is responsible for managing store-level HR operations, recruitment, attendance, employee welfare, compliance, and administrative support. The role ensures smooth staff functioning, disciplined operations, and a positive work environment in a high-traffic ethnic wear retail store. ⸻ 2. Key Responsibilities A. HR Operations • Manage employee attendance, leaves, weekly offs, and shift scheduling. • Maintain employee records, joining documents, personal files, and digital HR databases. • Handle new employee onboarding, induction, and store orientation. • Execute exit formalities, reliving letters, F&F coordination. • Monitor grooming standards, store discipline, and code of conduct. B. Recruitment & Staffing • Coordinate hiring of sales staff, cashiers, helpers, and support staff. • Post job ads, screen CVs, schedule interviews, and maintain hiring pipelines. • Conduct first-round interviews and ensure manpower availability during peak seasons. • Create job descriptions and maintain proper documentation. C. Training & Development • Conduct new hire orientation on store rules, customer service, product handling. • Coordinate product training with suppliers/brand trainers. • Maintain training calendars and track completion. D. Payroll & Compliance • Prepare monthly attendance sheet and send to accounts for payroll. • Track overtime hours, incentives, and deductions. • Ensure compliance with PF, ESI, Shops & Establishment Act, and labour rules. • Maintain records for audits. E. Employee Engagement & Performance • Handle staff grievances, conflicts, and disciplinary actions professionally. • Conduct monthly performance reviews with store manager. • Organize employee appreciation, festival celebrations, and team-building activities. F. Administration • Manage stationery, housekeeping, store maintenance, and vendor coordination. • Ensure proper functioning of CCTV, AC, lighting, and basic utilities. • Support daily store operations: opening/closing, cleanliness audits. • Coordinate with tailor, warehouse, and logistics for product movement. ⸻ 3. Skills & Competencies Technical Skills • Experience in HR operations, attendance management, and payroll coordination. • Knowledge of Shops & Establishment Act and basic labour laws. • Good Excel and email management skills. Soft Skills • Strong communication in Hindi + basic English. • High level of integrity and confidentiality. • Problem-solving and conflict management. • Organised, proactive, and disciplined. • Ability to work in busy retail environments. ⸻ 4. Qualifications & Experience • Graduate (BBA/B.Com/BA). HR certification preferred. • 1–3 years of experience in HR/Admin roles. • Retail industry experience is a strong plus. ⸻ 5. KRAs & KPIs KRA 1: Manpower Availability • KPIs: % of positions filled, hiring turnaround time, absenteeism rate. KRA 2: Attendance & Payroll Accuracy • KPIs: Error-free attendance sheet, timely submission, overtime accuracy. KRA 3: Compliance & Documentation • KPIs: Audit-ready files, 100% compliance with HR policies. KRA 4: Employee Engagement & Discipline • KPIs: Attrition rate, grievance resolution time, grooming & discipline score. KRA 5: Administration Efficiency • KPIs: Vendor issue closure time, maintenance downtime, store cleanliness rating.
