Role Overview

We are seeking a detail-oriented and analytical

Billing Analyst

to support our

billing operations

. This role is critical in ensuring billing accuracy, timely reconciliations, effective query resolution, and continuous process improvements. The ideal candidate will have strong problem-solving skills, hands-on experience in reconciliations, and the ability to collaborate across teams to streamline billing activities.

Key Responsibilities

  • Perform reconciliations between Wells Fargo Bank, CyberSource (payment gateway), and Zuora Billing System.
  • Manage and process refunds and reimbursements accurately and within SLA timelines.
  • Handle and resolve customer billing-related queries, ensuring high customer satisfaction.
  • Monitor and resolve failed payments (ACH, card, and other payment methods).
  • Support month-end close activities by providing timely and accurate responses to Accounting team queries with proper justifications.
  • Handle billing exceptions when the system fails to generate automated invoices.
  • Create Sales Orders (SO) in Salesforce (SFDC) by analyzing payroll data for both on-cycle and off-cycle billing.
  • Manage subscriptions and amendments in Oracle Billing, ensuring billing accuracy and compliance with contracts.
  • Maintain and update pricing lists within Oracle Billing.
  • Gain working knowledge of PEO-related products (Time & Attendance, Strategic Services, Net Time tools) to ensure proper billing.
  • Provide billing-related support during contract reviews and ensure alignment with financial terms.
  • Identify manual and repetitive billing tasks and drive simplification/automation opportunities.
  • Prepare and distribute management reports on refunds, reimbursements, reconciliations, subscription changes, and query handling.
  • Utilize Looker Analytics (or similar tools) to analyze data, build dashboards, and provide insights to management.

Qualifications & Skills

  • Bachelor’s degree in finance, Accounting, Business Administration, or related field.
  • 3+ years of experience in billing operations, AR, or reconciliation roles (experience in ASO/HCM/PEO billing strongly preferred).
  • Hands-on experience with billing systems (Zuora, Oracle Billing), Salesforce (SFDC), and payment gateways.
  • Exposure to Looker Analytics or other BI/reporting tools is a plus.
  • Strong proficiency in Excel and reporting tools; ability to analyze and present data clearly.
  • Solid understanding of subscription billing models, payroll billing, and non-recurring charges.
  • Excellent problem-solving, communication, and customer service skills.
  • Ability to work independently, manage multiple priorities, and collaborate effectively across teams.
