About The Role

The Admin Executive will serve as a central support resource for the organization, ensuring seamless coordination across administration, HR, IT, logistics, and vendor functions. This role demands adaptability, problem-solving skills, and the ability to take ownership of multiple tasks simultaneously. The candidate must be comfortable wearing multiple hats, working closely with cross-functional teams, and ensuring that day-to-day operations align with organizational goals.


What You'll Do

Our mission is to enable smooth business operations by ensuring employees, management, and partners are supported with efficient operational system. From handling coordination among different departments, laptop allocation, and facility management to driving vendor negotiations and compliance, your role will directly contribute to building a reliable and efficient work environment.


Key responsibilities include:


General Administration & Office Management

  • Oversee day-to-day office administration and ensure smooth functioning of workplace operations.
  • Manage office infrastructure (workstations, conference rooms, seating arrangements, internet, telecom).
  • Supervise housekeeping, security, pantry, and maintenance staff/vendors.
  • Ensure availability of office stationery, utilities, and other supplies.
  • Handle front desk responsibilities and act as the first point of contact for office queries.

Operations & Compliance

  • Support in adherence to company policies, statutory regulations, and compliance requirements.
  • Coordinate with internal teams for operational efficiency.
  • Manage documentation and ensure timely renewals of licenses, agreements, and certifications.
  • Support senior management in reports, MIS, and process documentation.

IT & Asset Management

  • Facilitate procurement, issuance, and return of IT assets (laptops, desktops, mobiles, accessories).
  • Maintain IT inventory and asset allocation register.
  • Liaise with IT vendors for software installation, troubleshooting, AMC (Annual Maintenance Contracts), and license renewals.
  • Support employees with basic IT troubleshooting before escalation to vendors.
  • Ensure cybersecurity protocols and company IT policies are followed.

Logistics & Travel Management

  • Coordinate courier, shipments, and delivery services.
  • Support in arranging travel bookings (flights, trains, cabs) and hotel accommodations for employees and guests.
  • Support in managing logistics for company events, conferences, and client meetings.
  • Track travel expense reimbursements and ensure adherence to travel policies.

Vendor Management & Procurement

  • Identify, evaluate, and negotiate with vendors for office supplies, IT, facility management, logistics, and other services.
  • Manage procurement process – from raising requisitions to purchase orders to payments.
  • Maintain vendor database, contract, and ensure SLA adherence.
  • Track vendor performance and ensure cost efficiency in procurement.

Employee Support & Engagement

  • Be the go-to person for employees regarding admin, HR, and IT-related support.
  • Support in organizing team-building activities, company events, and celebrations.
  • Handle grievance redressal related to facilities, IT, or HR policies.
  • Maintain a positive and professional office environment.

Additional Responsibilities

  • Support internal audits and compliance checks.
  • Prepare reports and dashboards for management review.
  • Act as a bridge between employees, vendors, and management.
  • Handle any ad-hoc tasks assigned by management.


Requirements

  • Bachelor’s degree in Business Administration/HR/Commerce/IT or related field.
  • 1–3 years of proven experience in

    Administration/HR/Operations/IT coordination

    .
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking ability.
  • Good negotiation and vendor management skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic IT knowledge.
  • Ability to work independently and handle confidential information with integrity.


Preferred Skills

  • Experience with HRMS/ERP tools.
  • Knowledge of compliance, contracts, and procurement processes.
  • Exposure to IT asset management and logistics coordination.
