Job Description

Position: Administrative Assistant

Reports to: Chief Operating Officer (COO)

Position Summary:

We are looking for a dynamic & responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Directors/CEO/COO, assisting in daily office needs and managing our company’s general administrative activities.

  • To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication.

Duties and responsibilities:

1. Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
2. Providing real-time scheduling support by booking appointments and preventing conflicts.3. Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.4. Screening phone calls and routing callers to the appropriate party.5. Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.6. Greet and assist visitors.7. Maintain polite and professional communication via phone, e-mail, and mail.8. Anticipate the needs of others to ensure their seamless and positive experience.9. Update and maintain office policies and procedures.10. Act as the point of contact for internal and external stakeholders.11. Write and distribute email, correspondence memos, letters, and forms.

Requirements:

1. Bachelor’s degree in any stream is a must. Masters is preferable.

2. Prior administrative assistant experience is preferred.

3. Excellent written and verbal communication skills.

4. Proficient in English and Hindi. Konkani/Marathi is a plus.

5. Excellent computer skills, especially typing.

6. Working knowledge of office equipment, like printers, TV, Internet, etc.

7. Proficiency in MS Office (MS Excel, MS PowerPoint, Google Docs, etc.)

8. Attention to detail and problem-solving skills.

9. Excellent time management skills and ability to prioritize work.

10. Must possess strong interpersonal skills.

11. Strong organization skills with the ability to multi-task.

12. Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.

13. Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyse information.

Job Type: Full-time

Pay: ₹18,000.00 - ₹22,000.00 per month
