Job Overview:
The Administrative Assistant is responsible for overseeing the daily administrative operations to ensure smooth and efficient office functioning. This role involves managing office supplies, scheduling meetings and travel, preparing documents, handling communications, supporting human resources activities, and maintaining filing systems. The person in this role works closely with staff across departments, vendors, and external contacts to facilitate seamless administrative support and contribute to a productive work environment.

Job Overview:
The Administrative Executive is responsible for overseeing the daily administrative operations to ensure smooth and efficient office functioning. This role involves managing office supplies, scheduling meetings and travel, preparing documents, handling communications, supporting human resources activities, and maintaining filing systems. The person in this role works closely with staff across departments, vendors, and external contacts to facilitate seamless administrative support and contribute to a productive work environment.

Roles & Responsibilities:
  • Oversee daily administrative operations to ensure efficiency
  • Monitor and replenish office supplies inventory
  • Organize and schedule meetings, appointments, and conference calls
  • Prepare, edit, and distribute documents, reports, presentations, and correspondence
  • Manage incoming and outgoing communications (emails, calls, mail)
  • Coordinate travel arrangements and accommodations for staff
  • Maintain physical and digital filing systems for easy information access
  • Support HR activities including employee records management and onboarding coordination
  • Assist with facilities management to maintain a safe and clean work environment
  • Manage vendor relationships and ensure timely invoice payments
  • Monitor office budget and ensure cost-effective resource use
  • Ensure compliance with company policies and procedures
  • Comprehensive onboarding training covering company policies and office procedures
  • Documented instructions and checklists for routine administrative tasks
  • Templates for common documents such as reports, meeting agendas, and correspondence
  • Quality assurance standards for document preparation and communication
  • Access to office management and communication software tutorials
  • Vendor contact lists and invoice processing guidelines
Qualification:
  • Bachelor’s degree in Business Administration, Office Management, or related field
  • Proven experience in an administrative or office management role
  • Proficiency in Microsoft Office and office management software
Location: Vadodara
Shift Timings: 10 PM- 7 PM
