As an Administrative Assistant at Empower People, your primary role will involve providing crucial administrative support to senior managers and ensuring smooth communication and coordination within the organization. Here is a detailed overview of your responsibilities: - Handling administrative requests and queries from senior managers: - Receive and respond to requests and inquiries promptly. - Provide necessary information or redirect queries appropriately. - Ensure effective communication between senior managers and team members. - Organizing and scheduling appointments/meetings: - Manage calendars and schedule appointments for senior managers. - Coordinate with internal and external parties for meeting arrangements. - Send out calendar invitations and reminders to participants. - Setting up internal and external meetings: - Coordinate logistics for meetings including venue, equipment, and materials. - Prepare meeting agendas and ensure availability of required resources. - Distribute agendas to participants in advance. - Planning meetings and taking detailed minutes: - Assist in organizing meeting agendas and materials. - Attend meetings and take accurate minutes. - Summarize key discussions, decisions, and action items for stakeholders. - Handling files and paperwork: - Organize and manage physical and digital files efficiently. - Maintain a systematic filing system for easy document retrieval. - Assist in document creation, formatting, and editing. - Updating and maintaining records for regulatory and legal compliance: - Regularly update and maintain compliance-related records. - Collaborate with legal and compliance teams for accurate record-keeping. - Coordinating with program and accountants: - Collaborate with program managers and accountants for documentation. - Assist in preparing documentation for audits and financial reporting. - Maintaining relationships with mentors and volunteers: - Engage with mentors and volunteers to provide support. - Assist in setting up interactions and tracking progress. - Foster positive relationships with mentors and volunteers. - Facilitating/recording daily transactions: - Record financial and administrative transactions accurately. - Ensure proper documentation and filing of all transactions. - Tracking and ensuring upkeep of center premises: - Monitor center premises for cleanliness and functionality. - Coordinate with maintenance staff for repairs and upkeep. - Interacting with members of the organization: - Communicate with various members for meetings and documentation. - Act as a point of contact for administrative matters. - Providing general administrative support: - Offer assistance to team members as needed. - Handle miscellaneous administrative tasks efficiently.
