Role Purpose
Own the
end-to-end execution
of all Stock Transfer Orders (STOs) and replenishments
as per plans issued by the Sourcing team
. Ensure
OTIF execution, scan/ seal discipline, in-transit visibility, rapid reconciliation, and loss/security control
across Distribution Centers (DCs), Fulfillment Centers (FCs), Retail, and Dark Stores.
Scope Clarification (Boundaries & Interfaces)
- In-scope (this role): Execution control from plan handoff → pick/pack → dispatch → in-transit → receiving/GRN → reconciliation → claims & recovery; security & loss prevention during movements; SOP/ SLA governance; dashboards & CAPA.
- Key interfaces: Sourcing (plan intake), DC/FC/Store Ops (execution), Logistics/TMS & 3PL (movement), SLP (security & losses), IT/WMS (systems), Finance (claims/settlement).
What You’ll Deliver (Execution Outcomes)
- Execution OTIF ↑: Achieve > [target]% On-Time In-Full execution for DC↔DC, DC→FC, FC→FC, and daily store replenishments.
- Scan & Seal Compliance: > [target]% milestone scan integrity; [target]% dock seal adherence.
- Aging-in-Transit ↓: Reduce >SLA shipments by [target]%; maintain live exception control.
- Rapid Reconciliation: [target] hours ship→GRN reconciliation TAT; auto-closure where eligible.
- Losses & Security ↓: Lower damage/missing PPM by [target]%; increase recovery ₹ via evidence-backed claims.
- Cost Hygiene: Improve vehicle utilization/ consolidation without compromising service or control.
Key Responsibilities
- 1) Source-Node Execution (Pick/Pack/Dispatch)
- Accept plan handoff from Sourcing; orchestrate picking & packing to specification (FEFO, batch/lot/expiry, MRP/GST).
- Ensure documentation integrity (challan, e-way bill where applicable), carton/lpn mapping, and IWT/GON parity.
- Run dock discipline: staging accuracy, weight & dimension verification, seal application & register, CCTV/pack-video coverage.
- 2) In-Transit Control & Exceptions
- Enforce scan-based milestones (gate-out, arrival, gate-in); monitor route adherence and no-scan gaps in a control-tower view.
- Drive exception war-rooms for diversions, delays, and temperature/handling breaches (where applicable).
- Maintain chain-of-custody and coordinate with Logistics/3PL for recovery actions.
- 3) Destination Receiving & Reconciliation
- Govern gate-in → GRN with short/over/damage protocols, joint discrepancy notes, and evidence capture.
- Close reconciliation within SLA; trigger auto-closure rules where data is complete and risk-checked.
- Publish node-wise variance and CAPA; prevent stranded shipments and in-transit limbo.
- 4) Security & Loss Prevention During Movement
- With SLP, enforce CCTV coverage, seal integrity, tamper-evident checks, and pack-table video standards.
- Build claim packs (timestamps, WMS/HHD logs, scan trails, images, trimmed video, weight/dim proofs) for 3PL disputes.
- Lead incident reporting → investigation → corrective actions; track recovery % and claim aging by lane/vendor.
- 5) Daily Store Replenishments (Retail & Dark Stores)
- Ensure cut-off adherence, staging accuracy, and milk-run/route execution as scheduled by Logistics/TMS.
- Govern back-order substitutions per policy; protect MSL adherence without over-pushing DOH.
- Run compact-site controls for dark stores (minimum CCTV set, opening/closing security checklist, cash-like asset rules).
- 6) Data Hygiene, Compliance & Governance
- Maintain master-data usage correctness (UOM, HSN, shelf-life) impacting execution accuracy.
- Ensure regulatory compliance in documentation and digital trail retention.
- Own SOPs/SLAs, maker–checker, access controls, and versioned change management.
- 7) Dashboards, Reviews & Continuous Improvement
- Build and maintain execution dashboards: OTIF, scan/ seal compliance, aging, reconciliation TAT, variance PPM, recovery ₹, lane scorecards.
- Use A3/5-Whys/Pareto to eliminate repeat execution defects; scale best practices across nodes.
- Partner with IT/Product to strengthen WMS/ERP/TMS signals, alerting, and auto-triggered evidence capture.
Success Metrics (KPIs You Own)
- Execution OTIF % (by flow: DC↔DC, DC→FC, FC→FC; Retail & Dark Store runs).
- Scan Compliance % and Seal Compliance %.
- In-Transit Aging (avg days; % > SLA).
- Reconciliation TAT (ship→GRN) and Auto-closure %.
- Damage/Missing PPM, Discrepancy Closure TAT, Recovery ₹ and Claim Win-Rate %.
- Dock Discipline Score (staging accuracy, weight/dim checks, CCTV/pack-video availability).
- Audit Pass % for execution SOPs and documentation.
Qualifications
Must-Have
- 5–8+ years in multi-node warehouse/transport execution (e-commerce/retail/3PL).
- Hands-on with WMS/ERP (pick/pack/GRN), TMS/telemetry, scan & seal processes, and evidence management.
- Strong analytics: Excel (pivot/lookup/Power Query); BI (Power BI/Tableau/Metabase). SQL is a plus.
- Proven delivery in OTIF improvement, reconciliation, and loss/security controls with 3PLs.
- Excellent cross-functional coordination with Sourcing, Ops, Logistics, SLP, IT, and Finance.
Good-to-Have
- Lean/Six Sigma (GB/BB), 5S, Kaizen.
- Exposure to quick-commerce/dark-store operations and compact-site controls.
- Experience with automation (carton/lpn mapping, auto clip-trimming, alerting).
