Job Description

Job Title:

As an HR and Executive Assistant with MIS reporting skills, you will play a dual role in providing essential support to both the Human Resources department and the executive leadership team. Your responsibilities will encompass HR administration, executive assistance, and the creation of Management Information System (MIS) reports. Your ability to manage diverse tasks, maintain confidentiality, and provide insightful data analysis will contribute significantly to the effective functioning of the organization.

Responsibilities:



Human Resources (HR) Support:

  1. Recruitment and Onboarding:

  2. Assist in managing the recruitment process, from posting job openings to coordinating interviews and onboarding new hires.
  3. Create and maintain comprehensive employee records, contracts, and benefits documentation.
  4. Benefits Administration:

  5. Support benefits enrollment and address employee inquiries related to health, retirement, and other benefits.
  6. Collaborate with vendors to ensure accurate and timely benefits administration.
  7. HR Data Analysis and Reporting:

  8. Develop and maintain HR-related MIS reports, including headcount, turnover, recruitment metrics, and benefits utilization.
  9. Analyze HR data to identify trends and insights that inform strategic decision-making.
  10. Compliance and Policies:

  11. Stay updated on labor laws and regulations to ensure HR practices align with legal requirements.
  12. Assist in developing and maintaining HR policies, procedures, and employee handbooks.
  13. Executive Assistance:

  14. Calendar Management and Scheduling:

  15. Coordinate and manage the executive team's calendars, scheduling meetings, appointments, and travel arrangements.
  16. Prioritize and optimize schedules to ensure efficient use of executive time.
  17. Communication and Correspondence:

  18. Draft, edit, and proofread emails, memos, presentations, and other communication on behalf of the executive team.
  19. Handle incoming communications and respond appropriately, ensuring timely follow-up.
  20. MIS Reporting and Data Analysis:

  21. Create and maintain executive-level MIS reports, dashboards, and performance metrics.
  22. Provide data-driven insights to support executive decision-making and strategic planning.
  23. Meeting Support and Coordination:

  24. Prepare meeting agendas, materials, and presentations for executive meetings.
  25. Attend meetings, take accurate minutes, and follow up on action items.
  26. Special Projects:

  27. Support executives in special projects, research, and data-driven initiatives as required.

Qualifications:

  • Bachelor's degree in human resources, Business Administration, or a related field (or equivalent experience).
  • Proven experience in HR administration, executive assistance, and MIS reporting.
  • Strong analytical skills and proficiency in data analysis tools and spreadsheet software (e.g., Excel, Google Sheets).
  • Excellent written and verbal communication skills.
  • Discretion in handling sensitive information and confidential matters.
  • Exceptional organizational and time management abilities.
  • Proficiency in Microsoft Office suite and data visualization tools.
  • Ability to work effectively under pressure and meet deadlines.
  • Detail-oriented and proactive approach to problem-solving.
