Job Description

Key Responsibilities 1. Production ManagementCoordinate daily production schedules to ensure timely delivery of orders. Oversee the manufacturing process, ensuring adherence to quality standards for customized designs and sizes. Monitor inventory levels of raw materials (e.g., fabrics, threads, accessories) and reorder supplies when necessary. Implement and optimize workflows for quicker turnaround without compromising quality. 2. Quality AssuranceConduct regular quality checks during and after production to ensure goods meet customer specifications. Address and resolve issues related to defects, mismatched orders, or substandard finishes. Collaborate with the design and production teams to refine processes for better outcomes. 3. Order ManagementCoordinate with the sales team to understand customer requirements, including customization preferences and delivery timelines. Track order statuses and communicate updates to relevant stakeholders. Ensure order documentation is complete, including approvals for designs and measurements. 4. Supply Chain CoordinationLiaise with suppliers for timely procurement of raw materials. Optimize logistics for cost-effective and timely delivery of finished goods to customers. Maintain relationships with third-party logistics providers for seamless distribution. 5. Team LeadershipTrain and supervise production floor staff on best practices and new processes. Manage workloads and schedules to maximize productivity and meet deadlines. Resolve conflicts or bottlenecks in production or delivery pipelines. 6. Customer InteractionCollaborate with the customer support team to address queries or concerns about customized orders. Ensure customer satisfaction by delivering high-quality, precisely tailored products. Act as a point of contact for bulk order negotiations and special requests. 7. Process OptimizationAnalyze production data to identify inefficiencies and propose improvements. Implement technology solutions like ERP or order management systems to streamline operations. Develop and enforce standard operating procedures (SOPs) for consistent quality and efficiency. 8. Reporting & AnalysisPrepare daily, weekly, and monthly reports on production output, order fulfillment rates, and quality metrics. Analyze customer feedback to improve product quality and service delivery. Monitor costs and propose cost-saving initiatives without compromising quality. Skills RequiredStrong understanding of manufacturing processes and supply chain dynamics. Knowledge of production scheduling, resource planning, and quality assurance practices. Proficiency in tools like Excel, ERP systems, and inventory management software. Leadership and interpersonal skills for managing diverse teams. Excellent communication skills for collaboration with customers, suppliers, and internal teams. Problem-solving skills to address challenges in production or logistics promptly. Order Processing Workflow for Customized Goods1. Enquiry and Initial Assessment Order Details Gathering: Record the customer’s order specifications (e.g., quantity, fabric type, customization requirements like embroidery or printing). Feasibility Check: Assess if the order aligns with company capabilities in terms of design, minimum quantity, and delivery timelines. 2. Fabric Availability CheckLocal Distributor Coordination: Contact local fabric distributors to confirm the availability of the required fabric. If available: Arrange for immediate procurement. If unavailable: Enquire about lead times for delivery or explore alternative distributors. Client Communication: Inform the client of potential delays and alternative fabric options if required. 3. Resource AllocationTailor Assignment: Check the availability and workload of in-house or contracted tailors. Assign tailors based on complexity, specialization, and capacity. Embroidery/Printing Partner Selection: Choose partners based on the type of customization (embroidery or printing) and their ability to meet the order’s timeline and quality standards. Share finalized designs and confirm delivery timelines with these partners. 4. Production SchedulingDevelop a detailed production timeline, including: Fabric procurement. Cutting, sewing, embroidery, or printing stages. Final quality checks and packaging. Adjust schedules dynamically to accommodate rush orders or unexpected delays. 5. Delivery Time CommitmentCalculate the estimated delivery time based on: Fabric procurement timeline. Tailoring and customization process duration. Logistics and shipping timelines. Communicate the final delivery date to the client, ensuring alignment with their expectations. 6. Order Tracking and UpdatesProvide clients with periodic updates on the order status (e.g., “Fabric received,” “Customization in progress,” “Ready for dispatch”). Resolve client concerns promptly, such as changes in order specifications or expedited requests. 7. Final DeliveryConduct a thorough quality check to ensure the product meets all customization and design specifications. Confirm delivery logistics (e.g., courier service, in-house delivery, or client pickup). Notify the client once the order has been dispatched or is ready for collection. 8. Post-Delivery Follow-UpGather client feedback on the product and service. Address any concerns related to alterations or defects within the guaranteed period. Key Tools/Resources for Efficiency Order Management System: To track orders, fabric availability, and production status. Supplier Database: Maintain updated contact details and stock levels of local distributors. Task Scheduling Tools: For assigning tasks to tailors and customization partners. Communication Channels: A centralized platform (e.g., WhatsApp Business or Slack) for real-time updates with clients, suppliers, and internal teams.
