About the Role

remote Agency Operations Lead


You'll work with them to spot bottlenecks, then fix them. You'll build systems, track what works, and tackle problems that slow us down. You'll serve as our Co-Founder's dependable right-hand person, creating systems that increase productivity and help build the culture of efficiency our teams need.


We move fast and don't have rigid processes. You won't deal with clients extensively, but you need experience at top-tier companies that know how to scale. You'll solve both technical and people problems while helping teams work better together. We're looking for a rock star who can be a big unblocker for leadership.


Our IDEAL CANDIDATE


Your performance will be measured by team feedback, speed of progress on key opportunities, ownership through independent execution, and "teammate NPS" - how much colleagues want to work with you based on the support you provide.

You'll be part of our Agency team. You'll collaborate with Developers to build integrations and automations using no-code or low-code tools, plus work closely with Project Managers and the broader Creative team. This position reports directly to our Co-Founder/Partner.


You’ll be doing things like:

  • Process Automation & Optimization:

    Interface with Project Managers to identify pain points and build tighter systems; automate workflows that assist Designers; architect systems where data is entered once and communicated across Slack and Notion; collaborate with Developers on no-code/low-code integrations or build them yourself when needed
  • Systems & Strategic Problem-Solving:

    Create systems for more efficient and happier ways of working; tackle operational problems through deep dives; maintain ongoing list of learnings and efficiencies; serve as our Co-Founder’s right-hand for strategic problem-solving; act as productivity unblocker for leadership
  • Financial Operations & Reporting:

    Handle end-of-month accounting and contractor reconciliation; optimize monthly time tracking and billing systems; prepare client monthly sheets and fix operational issues; extract profitability insights and analyze project utilization
  • Project Management Support:

    Handle granular tracking requests from enterprise customers; manage smaller operational requests to support Project Managers; coordinate special projects and internal tools development
  • Innovation & Special Projects:

    Support internal tool development and one-off initiatives; help source new hires; research and implement tech solutions that save time and improve output quality; potentially assist clients with workflow automation
  • Executive Support & Events:

    Organize expert roundtables for 8-10 C-Level Executives in unique venues; coordinate venue sourcing and logistics; support founders as conversation facilitators; assist with work-related and occasional personal tasks


Skills & Qualifications

  • 3-5+ years of prior experience in roles like Creative Operations Manager, Studio Operations Manager, Product Manager, Business Analyst, Systems & Operations, or Workflow Automation Expert
  • Highly skilled in clear communication, expectation setting, and end-to-end project management
  • Experience with workflow automation tools (Zapier, Make.com, n8n, or similar no-code/low-code platforms) and AI tools
  • Proficiency with business tools: Notion, Slack, Toggle, Airtable, project management systems
  • Bias for action - move fast, achieve small wins, iterate rather than document
  • Comfort with systems architecture and data analysis concepts
  • Ownership mentality with ability to run projects independently
  • Pragmatic approach favoring practical solutions
  • Mature understanding of different business functions, KPIs and workflows
  • Flexibility to learn new systems quickly
  • Ability to work effectively without rigid structure


Bonus if you also have:

  • Experience at creative agencies, startups, or forward-thinking product shops with tier-one brands
  • Development experience or technical background
  • Advanced data and BI skills
  • Portfolio showcasing automation projects or high-impact driven projects
  • Advanced AI skills including prompt engineering
  • Entrepreneurial experience with measurable impact
  • Familiarity with our tools: Google Workspace, Notion, Slack, Airtable, Monday.com, Asana, ClickUp, Toggle, Zapier, AI tools (ChatGPT, Claude, etc.), HubSpot CRM, Loom


Position Details

  • Working Hours:

    Β Minimum 4 hours of daily required overlap between 8AM-12PM ET, with remaining daily hours asynchronous
  • Employment Type:

    Full-time (40 hours/week), Exclusivity Preferred; part-time may be considered for exceptional applicants.
  • Education:

    No specific requirements - we value results over credentials
  • Level:

    Intermediate (3-5 years of relevant work experience)
  • Compensation:

    ~USD $1,141 – $1,369 (INR 100K–120K) per month, based on experience. Structured as a Consultant Agreement (independent contractor), meaning you'll be responsible for your own taxes, benefits, and insurance.
