Job Description

Purpose/Objective


    The Specialist – Payroll is responsible for executing end-to-end payroll operations with high accuracy, confidentiality, and compliance. The role ensures timely processing of salaries, statutory deductions, and employee reimbursements, while adhering to relevant tax and labor laws. This role also plays a key part in generating payroll reports, resolving employee queries, and ensuring data integrity across systems. It requires strong command over payroll systems, analytical thinking, and the ability to maintain controls in a multi-entity, high-volume environment.

Key Responsibilities of Role


    Accurate and Timely Payroll Processing: Process monthly payroll including regular salary, incentives, reimbursements, arrears, and full-and-final settlements. Validate input files from HRMS, attendance, and finance systems for completeness and accuracy. Coordinate with Finance for salary disbursement and reconciliation. Statutory and Regulatory Compliance: Calculate and validate statutory deductions (e.g., PF, PT, ESIC, LWF, TDS) as per local regulations. Prepare returns, challans, and ensure timely filing of statutory contributions. Stay updated on legal changes affecting payroll and incorporate necessary system/process updates. Payroll System Maintenance and Process Improvements: Operate and maintain payroll software and automated workflows. Identify inefficiencies and contribute to process improvements, validations, and automation enhancements. Conduct UATs for system changes and support payroll-related tech projects. Employee Query Management and Grievance Handling: Act as the SPOC for payroll-related employee queries. Ensure timely resolution of discrepancies in payslips, tax declarations, or reimbursements. Maintain clear communication with employees on pay components and deductions. Report Generation and Payroll Records Maintenance: Generate monthly payroll registers, variance reports, and reconciliation statements. Share MIS reports with internal stakeholders for audits, budget tracking, and compliance checks. Ensure secure and organized maintenance of payroll records.

Qualifications and Experience


    Educational Qualification: Bachelor’s degree in Commerce, Finance, or HR; Postgraduate in HR or Finance (preferred) Certification in payroll management or labor laws (preferred) Work Experience: 4–6 years of hands-on experience in payroll operations within large or multi-entity organizations Strong knowledge of Indian payroll regulations, taxation, and statutory requirements
