Job Description

Asset & Material Executive


Key Responsibilities

1. Fixed Asset Management

  • Maintain and update the Fixed Asset Register (FAR) in Excel and ERP/SAP B1/Tally.
  • Ensure accurate tagging, coding, and tracking of all company assets.
  • Record asset additions, capitalization, transfers, and disposals.
  • Maintain asset-related documents such as purchase bills, GRNs, warranty cards, AMC details.
  • Support internal, statutory, and ISO audits related to fixed assets.
  • Track depreciation and prepare periodic asset status reports.
  • Coordinate with departments for asset allocation, maintenance, and movement.


2. Asset Verification & Control

  • Conduct periodic physical verification of assets across all departments.
  • Reconcile physical assets with books and report discrepancies.
  • Identify missing, obsolete, or non-functional assets and support scrap/ disposal process.
  • Maintain records of scrap, write-off proposals, and approval documentation.


3. Material & Inventory Management

  • Verify quantity against PO, invoices, and delivery challans.
  • Verify minimum, maximum, and reorder stock levels.
  • Track material consumption, returns, and inter-department transfers.
  • Conduct daily, weekly, and monthly stock reconciliation.
  • Prepare stock reports: daily stock, slow-moving, non-moving, short/excess reports.


4. Documentation & Compliance

  • Maintain stock registers, GRN files, asset movement records, and verification reports.
  • Support audits (internal, ISO, statutory) related to asset and material management.
  • Ensure strict compliance with company SOPs, finance policies, and material control norms.
  • Coordinate with purchase, finance, production, maintenance, and admin teams.


5. Reporting & Coordination

  • Prepare reports on asset position, stock levels, consumption, depreciation, and variances.
  • Assist finance with stock valuation, consumption entries, and ledger reconciliation.
  • Highlight shortages, overstocking, or material inconsistencies to management.
  • Support budgeting, capital expenditure tracking, and cost control activities.


Qualifications

  • Graduate / MBA in Commerce, Finance.
  • 3–5 years of experience in fixed asset management, inventory, or material management.


Skills Required

  • Strong knowledge of asset management, stock handling, and documentation.
  • Good knowledge of MS Excel.
  • Working experience in SAP B1,Tally (Fixed Asset & Inventory Modules).

  • Understanding of GRN, FIFO/FEFO, depreciation, and stock reconciliation.
  • Strong communication, coordination, and analytical skills.
