Role :


Role Overview:

We are seeking an experienced and highly skilled person to lead implementation & subsequent maintenance of multiple Enterprise Intranet Applications such as the resource management system, Applicant Tracking System, HRMS etc., The ideal candidate will oversee the development, maintenance, integration & data synchronization of internal systems such as CRM, HRMS, RMS, ATS and Project Management Systems. This role also includes the migration of data from existing systems, repurposing of existing data\platforms to provide intranet solutions. The job responsibilities will include managing manage the technical & functional scope of the project, budget, risks, vendor relationships, and ensure a smooth transition across all systems and stakeholders for long-term success.


Key Responsibilities:


1. Program Management:

  • Lead and manage the end-to-end implementation & subsequent maintenance of Enterprise Intranet Applications such as Resource Management System (RMS), Recruitment ATS, HRMS, Project Management System etc.,.
  • Collaborate with all internal stakeholders, including HR, IT, Operations, and Leadership teams, to gather requirements, define the scope, and prioritize features.
  • Develop and execute detailed project plans, including timelines, resource allocation, and milestones to ensure successful project delivery within budget and on schedule.
  • Identify, assess, and mitigate risks to project timelines and deliverables.
  • Track program budgets and ensure resource allocation is aligned with priorities, staying within budget limits.
  • Monitor progress, report on status, and adjust plans as needed to ensure timely project completion.


2. System Integration:

  • As and when required, plan and oversee the seamless integration of intranet applications that includes CRM, HRMS, and Project Management Systems.
  • Collaborate with technical teams to design integration architectures, data flows, and interfaces to ensure smooth system interoperability.
  • Ensure data accuracy, consistency, and security during the integration process.
  • Coordinate with third-party vendors and consultants to implement integration solutions and resolve any technical challenges.
  • Lead the development of data migration strategies, ensuring smooth data transition from legacy systems to new solutions.


3. Data Migration & Data Synchronization:

  • As and when required, collaborate with existing teams to lead the migration of data from existing systems (RMS, ATS, CRM, HRMS, and Project Management Systems) to the new systems, ensuring data integrity, accuracy, and completeness.
  • Oversee daily data jobs, that includes testing and validation processes to ensure data is properly migrated\synchronized and without errors or inconsistencies.
  • Perform quality checks and troubleshooting during and after data migration & Data sync jobs to resolve any issues that arise.
  • Ensure that data security protocols are adhered to throughout the migration process to safeguard sensitive information.


4. Risk Management & Contingency Planning:

  • Conduct regular risk assessments, identifying potential roadblocks related to integration, data migration, and user adoption.
  • Develop contingency plans to address risks and ensure project continuity in the event of delays, resource constraints, or unforeseen technical issues.
  • Ensure mitigation strategies are in place to reduce risks associated with data loss, downtime, and user disruptions.


5. Vendor & Third-Party Management:

  • Coordinate with third-party vendors for system implementation, integration, and data migration.
  • Ensure service-level agreements (SLAs) with vendors are met and solutions provided meet functional and technical requirements.
  • Manage vendor relationships to ensure smooth collaboration and timely delivery of services and tools.


6. Quality Assurance & Testing:

  • Lead testing activities to validate the integrity and functionality of the new systems.
  • Ensure all application development, migration projects, maintenance projects and integration projects are delivered with good
  • Oversee the testing of migration & Data Synchronization to verify its accuracy, integrity, and completeness in both upstream and downstream applications.


7. Change Management & Stakeholder Communication:

  • Act as the primary point of contact for multiple program-related communications, both internally and externally.
  • Ensure effective stakeholder engagement and alignment across different teams, ensuring the program meets business needs and expectations.
  • Provide regular updates to leadership on progress, key risks, and mitigation strategies.
  • Develop and implement training programs for end-users to ensure smooth adoption of the new systems.
  • Gather feedback from end-users to continuously improve the system's functionality and performance.

8. Compliance & Data Governance:

  • Adhere to all data privacy related guidelines for employee data
  • Ensure the data migration process complies with all relevant data protection regulations (e.g., GDPR, CCPA, etc.).
  • Establish data governance protocols to ensure data integrity, security, and compliance throughout the implementation, migration & maintenance phases.
  • Ensure all systems are compliant with industry regulations and organizational policies related to data security and privacy.


9. Post-Implementation Support:

  • Monitor the performance of the integrated systems post-launch and work with relevant teams to resolve any issues that may arise.
  • Develop a comprehensive post-implementation support and optimization plan to enhance system efficiency and user experience.
  • Continuously improve processes and system functionality based on feedback and system performance metrics.


Desired Candidate:


  • Bachelors or Masters of Engineering, Bachelor's or Masters degree and\or relevant exposure to development and managing intranet applications in a large organization
  • Overall 10-12 years of experience with 5+ years of experience in program or project management with a focus on system implementation, integration, and data migration.
  • Proven experience leading the implementation of Intranet applications such as Resource Management Systems (RMS), Applicant Tracking Systems (ATS), and/or related enterprise software solutions.
  • Strong technical background with a solid understanding of system integrations, APIs, data migration, and data management.
  • Experience working with CRM, HRMS, and Project Management Systems (e.g., Salesforce, Workday, MS Project, Jira).
  • Expertise in planning and overseeing data migrations, data jobs, including development, mapping, testing, validation, and troubleshooting.
  • Strong understanding of risk management, contingency planning, and vendor management in system implementation projects.
  • Excellent communication and stakeholder management skills, with the ability to convey complex technical information to non-technical stakeholders.
  • Strong leadership skills with the ability to motivate cross-functional teams.
