Job Role:

HR Operations & Analytics Officer


Job Responsibilities

1. Pre-Onboarding & Documentation:

  • Undertake all required pre-employment checks, updating, and discussing findings with the line manager and recruitment team as appropriate.
  • Collect and verify pre-employment documents and ensure compliance with internal and external regulatory standards.
  • Process changes to employees' circumstances, including preparing accurate documentation, communication, and updating relevant databases.

2. Employee Onboarding, Induction & Life Cycle Management:

  • Organize and conduct new hire orientation sessions to introduce company policies, culture, and values.
  • Ensure all joining formalities are completed, including background verification, ID card issuance, and system access.
  • Process leavers, including preparing relevant documentation and updating systems accordingly.
  • Maintain and update HR systems, records, and reports with accurate employee data.
  • Issue appointment letters, track probation periods, ensure confirmations are processed on time, and dispatch confirmation letters as per company policy.
  • Ensure new employees are added to medical and accidental insurance policies on time and coordinate with the insurance provider for timely updates.

3. HR Systems & Payroll Support:

  • Manage and administer the HRMS (SPINE or other HR platforms) to ensure smooth functionality.
  • Maintain HR data integrity, ensuring accurate employee records and compliance with company policies.
  • Provide MIS and monthly employee payroll data in support of the payroll subject matter expert.
  • Process payroll-related employee changes in coordination with HR and Finance teams.

4. Reporting, Compliance & HR Support:

  • Produce information reports and complete any HR audit requirements and/or reporting as required.
  • Follow existing HR processes accurately and challenge these for ongoing efficiencies.
  • Ensure that the end-to-end HR process always supports a positive employee experience.
  • Provide administrative support to HR priority projects and other HR functions as required.
  • Respond to emails on behalf of the department and handle employee queries effectively.
