Job Title:India & UAE Payroll Specialist
Summary:The India & UAE Payroll Specialist is responsible for the accurate and compliant processing of monthly payroll in accordance with statutory and company guidelines. Furthermore, does the India & UAE Specialist anchor and facilitate time & attendance as well as statutory and audit reporting requirements related to payroll. Tasks primarily require specialist knowledge of payroll, solid knowledge of accounting and are performed independently within the framework of general guidelines, while at the same time working closely with the local HR Team on delivery of COE projects, reporting/data analytics.
The position should have a strong customer service skills required as the Single Point of Contact (SPOC) for payroll in the region for all associates as well as analytical skills, and a strong attention for detail. The role will work with other departments, including but not limited to Talent, Total Rewards, Finance and HR. Additionally, the position is to leverage a continuous improvement mindset in all activities.The position should have a strong skill set including customer service skills, (As the SPOC for payroll in the region for all associates), analytical skills, and a strong attention for detail. Responsibilities Include:Payroll Processing
- Ensuring timely, accurate, and efficient processing of monthly payroll.
- Maintains payroll operations by following policies and procedures.
- Prepare payroll payments and ensure payroll funding for taxes and payment of employee salaries/benefits is in place.
- Independently consolidate, calculate, and analyze frontline operators time attendance sheet. Provide the OT analysis report to People Operations and Site Leadership team on quarterly basis.
- Independently collects and validates timesheets and all changes related to payroll with People Operations before payroll transactions and ensures that submissions are correctly validated and reconciled to maintain accuracy, completeness and timeliness of data and accounting records.
- Act as a contact person for managers and employees on questions relating to payroll processing as well as general questions on on payroll related HR guidelines and processes.
- Support global payroll project as needed and implement local projects successfully.
- Preparation of statutory filings & payments.
- Correspondence with government agencies, insurance companies, and service providers
- Support Time and Attendance Management (Replicon) in a back-up capacity.
- Collaborate with the HRIS team and the current payroll provider to ensure that the interfaces function as expected.
- Collaborate with the HRIS team to review and implement system updates in Workday and other system interfaces that affect payroll.
- Contribute ideas for improving programs, policies, and payroll processes to increase the efficiency of processes and systems.
Document Administration
- Maintain and archive payroll data and records in a safe manner to ensure compliance with data protection regulations and assure confidentiality and security of records and information.
- Maintain the Personnel files of all associates in the region.
Payroll Contact Liaison
- Works with People Operations and employees, being a point of contact, to ensure that queries and problems are resolved promptly by collecting and analyzing information, delivering excellent customer service standards.
- Serves as a liaison between the Finance and Human Resources departments and responds to inquiries and contacts staff to resolve payroll issues.
Benefits Administration & Support
- Administration of PF & Gratuity Trust. Facilitation with EPFO for settlements, Transfers and Data Changes.
- Preparation of F&F settlements during exits.
- Administration & facilitation of Company car lease coordinating with the lease vendors and dealers.
- Life & Medical Insurances facilitation – For all associates as Single point of Contact enabling smooth enrollments, claims, settlements.
Payroll for Contingent workers
- Facilitating appropriate input for all contingent workers, coordinating with Third party agencies for timely process & Payments.
- Facilitate Benefit payments for Contingent workers
Audit & Inspections
- Maintain processes and audit trails for all payroll transactions.
- Provide information and answer audit questions related to payroll & benefits to the auditors to assist finance department in preparing for an audit.
- Partner with Regional People Ops Leader & site HR managers to ensure 100% compliance with internal and external audits related to HR parts.
- Provide reports and data as required to External labor inspectors during their visits related to payroll records.
Qualifications:The following are required for the role
Basic:
- Bachelor’s degree in HR or related area
- 7-10 years of relevant professional experience in payroll preferably in an international company in the chemical industry
- In-depth experience with payroll systems, applications, and platforms in the field of HR
- In-depth and practical knowledge of statutory environment and changes related to Payroll Taxes
- Experience with time and attendance programs
- Quick learner and able to follow instructions, respond to management direction and improve performance through management feedback
- Attention to detail, organized, accurate, thorough, and able to monitor work for quality
- Ability to maintain the highly confidential nature of human resources work
- Problem-solver, with strong ability to identify issues and resolve them in a timely manner
- Ability to work independently and take initiative to identify and implement continuous improvement opportunities
- Strong interpersonal skills: ability to work and partner effectively with others.
- Demonstrated strong oral and written communication skills
- Demonstrated proficiency with Microsoft Office, specifically, Excel, PowerPoint and Word
Preferred:
- Basic working knowledge in Workday & other ERP Systems
- Strong technical aptitude using human resources information systems
- Experience in shared services environment
- Payroll certifications if any
- Experience working with third party payroll service providers
- Proficiency in local language.
