Job Title: HR Executive

Reporting to : HR Manager

Reported By : Office Assistant, Housekeeping Executive, IT Executive

Objective Summary:

The HR Executive is responsible for implementing and managing human resource functions that support organizational growth and employee well-being. Their primary objective is to streamline HR processes, enhance employee engagement, ensure compliance with labour laws, and contribute to a productive work environment. By overseeing recruitment, training, performance management, and HR administration, the HR Executive helps align the workforce with business goals, fostering a culture of efficiency, motivation, and professional development.

Principle duties

1. Recruitment & Onboarding

· Job Posting & Sourcing: Post job openings on various platforms and source potential candidates.

· Screening & Interviewing: Conduct initial screening, schedule interviews, and assist in candidate selection.

· Offer & Documentation: Issue offer letters, contracts, and manage new hire documentation.

· Onboarding & Orientation: Facilitate smooth onboarding, including orientation sessions and introductions.

2. Employee Relations & Engagement

· Handling Employee Grievances: Address workplace concerns and ensure fair resolution of employee issues.

· Fostering Workplace Culture: Promote a positive work environment through engagement activities and initiatives.

· Conflict Resolution: Mediate disputes between employees or between employees and management.

· Employee Feedback & Satisfaction: Conduct surveys and feedback sessions to improve employee satisfaction.

3. Performance Management & Appraisal

· Setting Performance Standards: Assist in defining KPIs and performance evaluation criteria.

· Conducting Performance Reviews: Coordinate periodic performance appraisals and feedback sessions.

· Career Development Planning: Work with employees and managers on career growth plans.

· Performance Improvement Programs: Identify and implement plans for underperforming employees.

4. Payroll & Benefits Administration

· Attendance & Leave Management: Track attendance, leaves, and overtime records.

· Payroll Processing: Assist in salary processing, tax deductions, and compliance with labor laws.

· Employee Benefits Management: Administer health insurance, provident fund, and other employee benefits.

· Compensation Review Support: Assist in structuring competitive salary packages.

5. Training & Development

· Identifying Training Needs: Analyse employee skill gaps and suggest necessary training programs.

· Organizing Training Sessions: Schedule and coordinate internal and external training sessions.

· Tracking Training Effectiveness: Evaluate the impact of training programs on employee performance.

6. HR Compliance & Policy Implementation

· Ensuring Legal Compliance: Adhere to labor laws, company policies, and industry regulations.

· Maintaining Employee Records: Keep accurate and updated HR databases, contracts, and documentation.

· Developing & Updating Policies: Assist in drafting and implementing HR policies and procedures.

7. HR Administration & Reporting

· Managing HR Databases: Maintain employee records in HRMS or other digital systems.

· HR Reports & Analytics: Prepare reports on HR metrics, attrition rates, and workforce trends.

· Supporting Management Decisions: Provide HR insights for business and management decisions.

8. Workplace Safety & Compliance

· Ensuring Workplace Safety: Implement safety policies and handle compliance with health and safety regulations.

· Handling Disciplinary Actions: Implement disciplinary procedures in case of violations or misconduct.

9. Exit Management

· Resignation Handling: Process resignations, conduct exit interviews, and finalize clearance formalities.

· Employee Offboarding: Ensure a smooth transition for departing employees and knowledge transfer.

Documentation:

An HR Executive is responsible for maintaining and managing various HR-related documents to ensure smooth HR operations, compliance, and record-keeping. Below are the key documentation tasks they handle:

· Employee personal details (ID proof, address, contact information)

· Employment contracts and appointment letters

· Offer letters and joining documents

· Probation confirmation letters

· Resignation letters and exit interview records

2. Recruitment & Onboarding Documents

· Job descriptions and job postings

· Candidate resumes and applications

· Interview assessment sheets and feedback forms

· Offer letters and salary negotiation records

· Onboarding checklists and induction reports

3. Attendance & Leave Management

· Employee attendance records

· Leave application forms and approvals

· Overtime and work-from-home records

· Shift schedules and rosters

4. Payroll & Compensation Documents

· Salary slips and payroll reports

· Tax deduction (TDS), Provident Fund (PF), and Employee State Insurance (ESI) records

· Employee benefits and insurance documents

· Bonus and incentive records

5. Employee Relations & Performance Management

· Performance appraisal reports and feedback forms

· Promotion and increment letters

· Disciplinary action reports and warning letters

· Employee grievance records and resolution reports

6. Training & Development Documents

· Training needs assessment reports

· Training schedules and attendance records

· Employee development plans

· Training feedback and evaluation reports

7. HR Policies & Compliance Documents

· Employee handbook and HR policies

· Workplace safety and compliance records

· Labor law compliance reports

· Sexual harassment policy and Internal Complaints Committee (ICC) records

8. Exit Management & Final Settlements

· Employee resignation letters and exit interview forms

· Full & final settlement documents

· Relieving letters and experience certificates

· Asset handover and clearance forms

Requirements

Education: MBA with Specialization in HR/ Any Degree

Age : 25-30

Gender: Male / Female

Experience: Above 2 years

Job Type: Full-time

Pay: ₹20,000.00 - ₹25,000.00 per month
