Key Responsibilities

Proposal Development & Coordination

  • Manage the full lifecycle of proposal responses for EA-related opportunities.
  • Interpret RFP/RFQ requirements and develop proposal outlines, compliance matrices, and schedules.
  • Coordinate inputs from multidisciplinary teams (e.g., climate scientists, engineers, sustainability advisors and consultants, subject matter experts).
  • Ensure proposals are aligned with WSP branding, messaging, and strategic positioning.
  • Facilitate proposal kick-off meetings, reviews, and debriefs.
  • Liaise with CCRS/EA leadership, E&E Strategic Pursuits & Proposal Team, marketing, legal, and finance teams to gather, review and validate content.
  • Support teaming arrangements and coordinate with external partners when applicable.
  • Support proposal e-bid submission process.

Content Creation & Editing

  • Draft and edit proposal sections including executive summaries, project descriptions, team bios, and methodologies.
  • Demonstrate strong proficiency in Microsoft Word and PowerPoint to develop, format, and present complex proposal documents and supporting materials.
  • Work closely with the proposal leads and managers to ensure the accuracy and clarity of proposal financials, including budgets, pricing tables, and cost narratives, and integrate these elements seamlessly within the overall submission.
  • Adapt existing content and boilerplate materials to suit specific client needs and proposal contexts.
  • Ensure clarity, consistency, and technical accuracy across all proposal components.
  • Ensuring documents are polished, professional, and visually compelling while adhering to WSP’s brand standards.

Process & Quality Management

  • Maintain a strong general knowledge of CCRS and EA service offerings and stay informed of team capabilities across the business to effectively position WSP’s expertise in proposals.
  • Monitor daily the bid opportunities list emails.
  • Maintain proposal databases, templates, and CCRS-specific content libraries (CVs, project sheets, credentials etc.).
  • Track proposal outcomes and contribute to continuous improvement of proposal processes.
  • Ensure timely submission and compliance with all client and WSP requirements.

Qualifications

QUALIFICATIONS

  • Diploma or degree in Marketing, Communications, Business, Environmental Studies, or related field.
  • 5–7 years of experience in proposal coordination, preferably in consulting or professional services.
  • Experience with climate change, sustainability, or ESG advisory proposals is a strong asset.
  • Excellent writing, editing, and proofreading skills in English.
  • Demonstrating an ability to produce polished, professional, and visually compelling documents.
  • Experience with graphic design and using layout tools to enhance the visual presentation of proposals, including experience with graphic design software such as Adobe Creative Suite (Illustrator, InDesign, Photoshop, Acrobat) is considered an asset.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat.
  • Familiarity with SharePoint and CRM systems (e.g., Oracle).
  • Knowledge of public sector procurement processes in Canada (e.g., PSPC, provincial ministries, municipalities) is considered an asset.
  • APMP certification or equivalent is an asset.
  • Strong organizational skills and ability to manage multiple deadlines in a fast-paced environment.
  • Collaborative, proactive, and solutions-oriented mindset.
