Job Purpose:
Executive Assistant in ports is tasked with offering comprehensive support to the CEO on a daily basis, ensuring efficient management of the CEO's schedule, facilitating communication, and assisting with the execution of strategic initiatives. This role is pivotal in enhancing the CEO's capacity to lead the ports business effectively.

Purpose
This role ensures safety, health, and environmental compliance across the port by minimizing risks, preventing incidents, and improving emergency preparedness. It manages environmental clearances for operations and expansion projects, oversees compliance and liaison with MPPCB/MOEF, and implements the Integrated Management System (IMS) as Management Representative. Additionally, it drives occupational health initiatives and sustainability efforts to maintain a safe, compliant, and efficient work environment.
Roles & Responsibilities
Strategic Roles& Responsibilities
- Lead the HSE function for the port, providing direction and oversight for all safety, health, and environmental activities.
- Align HSE initiatives with corporate ESG goals and ensure site targets are achieved.
Operational Responsibilities
Safety Management
- Establish and enforce safety standards, work permit systems, and Lock-Out Tag-Out (LOTO) procedures.
- Conduct and oversee safety audits, inspections, mock drills, and leadership walkthroughs.
- Investigate incidents and near misses, ensure timely closure of corrective actions, and maintain incident registers.
- Coordinate safety committee meetings, toolbox talks, and continuous safety training for employees, contractors, and visitors.
- Ensure firefighting and emergency response systems are operational and ERDMP plans are implemented.
Environmental Management
- Manage environmental clearances for operations and expansion projects, including public hearings, while ensuring compliance with MPPCB and MOEF regulations.
- Prepare and submit statutory compliance reports (monthly, half-yearly, yearly) and obtain necessary permissions.
- Implement projects to improve environmental quality and develop horticulture for carbon sequestration.
Integrated Management System (IMS)
- Lead the implementation and maintenance of IMS as Management Representative (MR).
- Ensure compliance with ISO 45001:2018, ISO 14001:2015, and ISO 9001:2015 standards.
Occupational Health & Wellness
- Organize periodic health check-ups and wellness programs for employees.
- Ensure occupational health goals are achieved and monitored.
Compliance & Reporting
- Ensure adherence to all statutory requirements and internal HSE policies.
- Coordinate internal and external audits, capture findings, and ensure timely closure.
Budget & Resource Management
- Manage HSE budgets effectively and control expenses within approved limits.
- Oversee procurement and maintenance of safety equipment and emergency systems.
Additional Responsibilities
- Coordinate with fire officers, first aiders, and other stakeholders for day-to-day compliance.
- Perform any other duties assigned by the Head of Port.
People Management
- Conduct toolbox talks and actively promote a strong HSE culture through safety posters, training sessions, and recognition programs such as safety awards.
