Overall Mission The role of the Station Manager will be to lead the operations at the Hyderabad, India branch with a focus on delivering superior customer service, improving operational efficiency, driving profitability, and ensuring compliance with industry standards. This will be achieved by managing day-to-day logistics, fostering client relationships, optimizing resources, and leading a high-performing team while upholding the highest standards of safety, quality, and customer satisfaction. Main Contributions Branch Management & Leadership Manage the Entire Branch by overseeing all aspects of both the Bangalore and Chennai branches; ensuring that daily operations are efficient, well-coordinated, and meet the organization’s standards. This includes managing staff, resources, facilities, and the day-to-day activities of the branch. Controlling Agents and Vendors by overseeing relationships with external agents, vendors, and service providers to ensure quality service and adherence to contractual obligations. This includes monitoring contracts for services such as pest control, fire extinguisher maintenance, and other necessary operations. Clinical Trials & Pharma: Support domestic networks and site coordination for clinical trials and pharmaceutical inventions as well as operational needs related to clinical trials and pharmaceutical activities. Branch Development & Client Relationship Management Client Relationship Management: A key contribution is ensuring the continuous development of relationships with both existing and new clients by maintaining close communication, understanding client needs and delivering consistent service. This role will contribute directly to client satisfaction and retention. client base, and developing a new network of agents for domestic and international logistics. Business Development: Identify growth opportunities and expand export/import of shipments; particularly time-sensitive and temperature-controlled goods Client Follow-ups: Regularly follow up with clients, airlines, and customs authorities Agent Network: Develop new agent networks and strengthen existing relationships with agents. Temperature-Controlled Logistics & Cold Chain Management Monitor Cold Chain Logistics: Ensure that temperature-sensitive shipments, including pharmaceuticals and clinical trials, are handled with care and in compliance with cold chain standards Quality Control and temperature-controlled logistics: Oversee all aspects of temperature-control logistics to ensure goods are transported and stored at correct temperatures, including the management of vehicles, freezers, cool rooms, and refrigerators Monitoring Operations: Supervise staff, vehicles, storage units (freezers, fridges, cool rooms), DG (Dangerous Goods), and office assistants Operational Audits: M anage and oversee operational department audits, ensuring that all records and processes are in order, and addressing any discrepancies or findings raised during the audit process Operational Cost Reduction: Identify cost-reduction opportunities while ensuring that targets are met. Emergency Shipment Handling: Personally attaining to or arranging for pickups and deliveries in the event of staff shortage or emergency. Crisis Management: Manage any urgent situations related to logistics, client relations, or operational disruptions, ensuring that situations are handled promptly and efficiently Team & Staff Management Employee Management: Approve team shifts and leaves, and requisition additional staff or replacement of staff as necessary. Oversee staff attendance and the daily activities of the operational team and drivers, ensuring efficient coordination and timely execution of tasks. Team Supervision: Manage staff, drivers, and ensure all daily tasks are carried out effectively. HR & Compliance Job Descriptions & HR Coordination: Develop job descriptions for existing and new positions, ensuring they align with the company’s goals and are discussed and finalized with the HR department.. Training Calendar: Monitor the HR-provided training calendar to ensure all training sessions are properly executed. Employee Recruitment: In case of staffing shortages, the Station Manager has authority to raise requisitions for additional staff or replacements and will play a role in hiring new employees, conducting interviews and supporting HR in staffing planning. Employee Training & Development: O nboard and provide continuous training to new and existing employees, ensuring they are well-equipped to meet operational requirements and maintain high service standards. Ensure all training records are filed as per ISO standards. Holiday and Custom Regulations: Maintain holiday list for HR department according to customs and operational needs. Vendor Payments & Financial Management Cost Management : Prepare profit margin files and review operational costs. Petty Cash Management : Maintain petty cash records, ensuring that vouchers are signed and submitted to head office for proper documentation and tracking. Quotation Support : Assisting the sales team in preparing quotes for domestic and overseas clients. Cost Reduction Initiatives : Identify areas for operational cost reduction, helping to improve profitability without compromising service quality which may require the optimization of resource use, streamlining of logistics processes, or negotiating better contracts with vendors and service providers Project Management : Ensure that all operational projects are completed within deadlines, adhering to timelines, budget and scope. Ensure that key performance indicators (KPIs) are met consistently Approval of Vendor Payments : Oversee vendor payments, ensuring that invoices are processed accurately and on time. Maintain close relationship accounts team to ensure smooth financial operations Pricing & Quotations: Manage pricing for both the Bangalore branch and certain overseas agents, ensuring that pricing strategies are competitive while maintaining profitability. Assist Sales team in preparing accurate and timely quotations for clients Facilities Management and Office Maintenance Day-to-Day Facilities Management: Oversee daily office maintenance to ensure facilities are well-maintained and conducive to a productive work environment; including the upkeep of office space and equipment to ensure that all areas are functioning efficiently Administration Provide Administrative Support to upper management: Assist Administrative team by providing data and reports required by senior managers for decision-making; including maintaining detailed records on operational performance, training, staffing, and financials Annual Maintenance Contracts (AMCs): Monitor/manage AMC agreements with vendors and clients, ensuring all parties fulfill their obligations Required Skills Profile (experience/ education) Bachelors or post-graduate degree 7+ years of working experience in the temperature-control logistics corporate sector Language: English, Hindi & Telugu. Any other regional language will be added advantage. Specific Experience & Knowledge Required Experience working in the Shipping, Warehousing, Logistics and Temperature-controlled environment Operational and geographical knowledge Customs and airlines regulations knowledge Cold chain management experience Adherence to SOPs and GMP requirements Previous experience in a customer facing role Ability to deliver upon strict customer and client deadlines Experience with and the ability to understand supply chain issues Show more Show less
