Job Description

Role Summary

The Senior Operations Executive plays a pivotal role in optimizing operational efficiency and system management for our ECA (Education/College Agent) operations, supporting both the Australia-based college relations and the India-based backend operations. This role is crucial for ensuring seamless coordination, high data accuracy, and delivering robust reporting insights, primarily leveraging tools like Power BI. The successful candidate will be the link between data, systems, and operational workflow execution across global teams.

Key Responsibilities

1. Data Analysis, Business Intelligence, and Reporting

  • BI Dashboard Management: Develop, manage, and maintain complex Power BI dashboards to provide real-time visibility into critical business performance indicators, including the admissions pipeline, documentation status, and operational KPIs.
  • Actionable Insights: Analyze student, admissions, and extensive operational data to identify trends, performance gaps, and opportunities, delivering concise, actionable insights to management.
  • Reporting: Prepare comprehensive MIS reports, data summaries, and performance presentations for various stakeholders.
  • Data Integrity: Ensure the accuracy, consistency, and reliability of data across all core CRM/ERP systems and integrated BI tools.

2. Operations and Workflow Management

  • Process Monitoring: Support and closely monitor backend processes related to admissions, compliance, documentation, and student onboarding.
  • Optimization: Proactively identify bottlenecks, optimize existing operational workflows, and implement process improvement opportunities to enhance speed and quality.
  • Global Coordination: Work closely with the India and Australia teams to facilitate cross-functional alignment and ensure the timely resolution of complex operational and system issues.
  • Performance Tracking: Track operational execution and ensure consistent adherence to defined Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).

3. Systems Oversight and Support

  • System Health: Oversee the functionality of CRM/ERP and student management platforms to ensure smooth functioning, optimal performance, and error-free data handling.
  • Enhancements: Coordinate with internal IT teams and external vendors for necessary system enhancements, integration projects, and technical troubleshooting.
  • Training & Audits: Provide effective system training to team members and conduct periodic data audits to maintain data integrity and regulatory compliance.

4. Stakeholder Collaboration

  • Communication: Collaborate effectively with management and cross-functional teams to streamline inter-departmental communication and alignment.
  • Strategic Support: Provide timely data insights and operational support to inform strategic decision-making across the organization.
  • Quality Assurance: Partner with compliance and quality teams to implement best practices and maintain overall operational excellence.

Qualifications & Skills

  • Bachelor’s or Master’s degree in Business Administration, Operations, Data Analytics, or a closely related field.
  • 2-3 years of proven experience in operations management, systems administration, or business analytics (experience within the education industry is highly preferred).
  • Mandatory: Strong, demonstrated experience in Power BI dashboard creation, data modeling, and end-to-end management.
  • Expert proficiency in Microsoft Excel, Google Sheets, and other advanced reporting and data manipulation tools.
  • Familiarity with CRM/ERP platforms (e.g., Salesforce, Zoho, HubSpot, or specialized education-focused CRMs).
  • Excellent written and verbal communication, coordination, and quantitative analytical skills.
  • Proven ability to handle multiple priorities and effectively collaborate with globally distributed teams.

Job Types: Full-time, Permanent

Pay: ₹30,000.00 - ₹50,000.00 per month
