Job Description

The Procurement Team Lead is responsible for overseeing the end-to-end purchasing process, ensuring timely and cost-effective procurement of materials, goods, and services. This role manages vendor relationships, negotiates pricing and contracts, supervises the procurement team, and ensures compliance with company policies and operational requirements.

Key Responsibilities

1. Procurement & Purchasing Operations

  • Oversee the entire procurement lifecycle from requisition to delivery.
  • Review purchase requests, evaluate requirements, and ensure timely issuance of Purchase Orders (POs).
  • Ensure goods/services are procured at competitive prices while maintaining quality standards.
  • Monitor inventory levels and coordinate with departments to prevent shortages or overstocking.

2. Vendor Management & Negotiation

  • Identify, evaluate, and onboard reliable vendors and suppliers.
  • Conduct price negotiations, contract finalizations, and long-term rate agreements.
  • Build strong supplier relationships and ensure vendor performance meets company expectations.
  • Resolve vendor disputes, pricing issues, and quality-related matters.

3. Team Supervision & Coordination

  • Lead and guide the procurement team in daily operations.
  • Delegate tasks, monitor workload, and ensure team productivity.
  • Train new team members on procurement processes and ERP systems.
  • Coordinate with departments like operations, finance, stores, and management for smooth workflow

4. Compliance & Documentation

  • Ensure all procurement activities follow company policies, approval hierarchies, and audit standards.
  • Maintain accurate records of POs, vendor agreements, quotations, and comparative statements.
  • Support internal and external audits with required procurement documentation.

5. Reporting & Analysis

  • Prepare daily/weekly/monthly procurement reports.
  • Analyze purchasing trends, cost savings, and vendor performance metrics.
  • Recommend improvements in procurement processes to enhance efficiency and reduce cost.

Additional Requirements

  • Strong analytical, negotiation, and decision-making skills.
  • Knowledge of procurement software/ERP systems.
  • Ability to multitask in a fast-paced environment.
  • Leadership ability to manage a team effectively.
