Job Summary
We are seeking a detail-oriented and experienced Payroll Specialist to manage and execute payroll processes across multiple geographies – US, UK, Australia, and India. The ideal candidate will ensure timely and accurate payroll processing, statutory compliance, reporting, and employee support while working closely with internal teams and external partners. This role is critical in maintaining data integrity, compliance with global employment regulations, and employee satisfaction.
Key Responsibilities
Payroll Processing
- Process end-to-end payroll for employees in the US, UK, AUS, and India, including regular salary, bonuses, variable pay, reimbursements, and deductions.
- Ensure accurate payroll inputs by validating timesheets, leaves, bonuses, and incentive plans.
- Prepare and review monthly payroll journals for all entities and coordinate with Finance for payroll accounting.
- Maintain and update employee records such as department, designation, and compensation changes.
Compliance & Reporting
- Ensure timely tax filings and compliance with statutory regulations across regions (e.g., IRS filings in the US, HMRC in the UK, ATO in Australia, and EPFO/ESI/PT in India).
- Prepare and file statutory reports including PF, ESI, LWF, PT, TDS, and Statutory Bonus in India; and equivalents in other regions.
- Generate and distribute Form 16 (India), P60/P45 (UK), W-2/W-4 (US), and PAYG summaries (Australia) as applicable.
- Assist in gratuity, earned leave, and other benefit valuations and provide required data for actuarial reports.
- Support audits and provide documentation for internal and external compliance reviews.
Employee Support & Communication
- Act as a payroll advisor and point of contact for employees and internal departments across geographies.
- Clarify employee queries regarding salary structure, tax treatment, statutory deductions, and net pay.
- Drive awareness about pay components and compliance obligations across all regions.
Process Improvement & Stakeholder Collaboration
- Collaborate with HR, Finance, and external vendors (such as payroll processors and tax consultants) to streamline payroll operations.
- Participate in HRMS implementation, automation initiatives, and global payroll system upgrades.
- Continuously evaluate payroll processes and propose improvements for accuracy, efficiency, and compliance.
Requirements
- Bachelor's degree in Finance, Accounting, HR, or a related field.
- Minimum 3–5 years of experience in multi-country payroll processing, preferably covering US, UK, AUS, and India.
- In-depth knowledge of payroll compliance and statutory regulations across the mentioned countries.
- Experience working with payroll systems such as ADP, Gusto, Paychex (US), Xero (AUS), Sage (UK), or Indian payroll platforms like GreytHR or Zoho or DarwinBox.
- Strong proficiency in Excel and MS Office Suite.
- Excellent analytical, problem-solving, and communication skills.
- Ability to maintain confidentiality, prioritize tasks, and work under tight deadlines, especially during month-end and year-end.
- Willingness to work flexible hours to coordinate across global time zones.
First Round: Functional and Compliance Fundamentals
Purpose:
Evaluate candidate’s understanding of core payroll processing and statutory compliance.
Key Areas of Evaluation:
- Payroll Process Knowledge: End-to-end payroll cycle understanding for multi-region.
- Statutory Compliance: PF, ESI, LWF, TDS, PT, Gratuity (India); W-2/W-4 (US); HMRC (UK); ATO (AUS).
- Payroll Software: Hands-on experience with HRMS/Payroll tools (ADP, Gusto, GreytHR, etc.).
- Accuracy & Attention to Detail: Payroll calculations, journal entries.
- Communication Skills: Explaining payroll components to employees/stakeholders.
Second Round: Advanced Compliance, Global Payroll Operations & Reporting
Purpose:
Assess cross-border payroll experience, tax understanding, and reporting capabilities.
Key Areas of Evaluation:
- Multi-Country Payroll Exposure: Experience with US/UK/AUS/India payroll differences.
- Tax Reporting & Year-End Filings: W-2 (US), P60 (UK), PAYG (AUS), Form 16 (India).
- Payroll Accounting & Journals: Experience preparing and reconciling payroll-related GL entries.
- Process Documentation: SOPs, checklists, and process optimization.
- Stakeholder Management: Coordinating with HR, Finance, External Vendors.
Case Study/Scenario-Based Questions:
- How do you ensure payroll compliance across jurisdictions?
- What steps do you take to validate month-end payroll reports?
Final Round: Leadership Fit, Risk Management & Process Ownership
