Role Summery
You are the founder's execution arm across Admin, HR, Sales Operations, and Growth & Events (webinars included as a core task). You will help execute decisions, keep data organized, drive follow-through, and directly help the founder and revenue teams.
Key Responsibilities
1) Admin & Operation Control
- Manage and improve our online workspaces and tools (Notion, Microsoft 365, Google Workspace, Graphy LMS)
- Manage and improve subscriptions, renewals, domain/hosting, and vendor contracts; maintain an asset register
- Expense tracking and reimbursements with monthly closes; travel and event logistics.
- Drive Notion/Drive/SharePoint hygiene: naming conventions, folder structures, access control, and archival.
2) HR & People Operations
- Draft/post JDs, screen candidates, schedule interviews, coordinate panels, and issue offers.
- Onboarding checklist: KYC, bank, agreements, IT access, brief policy run-through.
- Attendance & leave tracker; collate payroll inputs by the 25th; maintain basic HRIS spreadsheets
- Maintain contractor/freelancer rosters, agreements, and payment calendars.
3) Sales Operations (Founder Assist)
- Maintain HubSpot hygiene: tags, contact roles, next steps, tasks, and timelines.
- Book discovery calls, prep call briefs, capture notes, and file action items.
- Assemble proposals/Documents from templates; coordinate approvals and e-sign; invoice hand-off.
- Ensure no leads or tickets go stale; tighten SLAs for response and follow-ups.
4) Growth, Content & Events
- Organize and manage the LMS platform we use (Graphy). You'll be responsible for managing webinars, workshops and other course operations through this platform. Maintain a lean events calendar; coordinate landing pages and email/DM sequences.
- Create and schedule social media content across platforms; maintain brand voice and visual consistency.
- Work alongside founder and dev team to create schedule and drive content campaign with blog posts, case studies, and newsletters.
- Set up and manage marketing automation workflows for lead nurturing and engagement tracking.
- Create, maintain, organize and improve the systems.
5) Founder Enablement
- Prep meeting briefs and weekly priorities boards; capture decisions and actions.
- Calendar management with buffers; coordinate internal/external stakeholders.
- Track cross-functional commitments and close the loop on deliverables.

Success Criteria:
- Effective systems management: Create and improve organizational structures for folders, sheets, Notion and CRMs to optimize team productivity.
- Consistent reliability: Ensure recurring tasks (payroll inputs, renewals, event follow-ups) are completed on schedule without fail.
- Seamless handoffs: Deliver the right information to sales, finance, HR and founder teams precisely when needed.
- Improved efficiency: Reduce unnecessary communication loops and enable context-rich decision-making.
- Professional standards: Maintain clear communication, precise instructions and consistently on-brand materials.
Ideal Candidate Requirements
- 1–3 years in operations/admin/HR/sales ops or a high-velocity startup environment. a
- Systems thinker who enjoys checklists, templates, and closing loops.
- Strong written English, calendar discipline, and stakeholder management.
- Proficient with spreadsheets and documentation; comfortable learning new tools quickly.
- Calm under pressure; biased to action; treats confidentiality and compliance seriously
Bonus Skills
- Event production experience (webinars/workshops).
- Basic automation (n8n/Zapier), HTML/CSS tweaks, or analytics.
- Experience doing software sales or assembling proposals/SOWs and coordinating e-sign/collections.
Work Candence
- Hours: Mon–Sat, standard business hours (flex for live events).
- Engagement: Hybrid/Remote; Kochi-based candidates preferred for occasional in-person days.
Compensation & Perks
- ₹15,000/month fixed + performance bonus up to ₹10,000/month
- 16 paid leaves/year + public holidays; comp-off for weekend events
- Learning stipend ₹1,000/month • Internet ₹800/month
