Duties & responsibilities
Ensure proper management all service contracts, including inspections and quality management of service delivery
Implementing a comprehensive energy management program
Developing and implementing building facilities management operational procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems. Regional consistency will be of importance
Ensuring an adequate supply of materials and service for the proper operation of the facilities
Assisting with the preparations of strategic plans, budgets, and client reports, including financial reconciliation
Develop and implement a Preventive and Planned Maintenance program to minimize maintenance, repair, and replacement costs together with minimizing the risk of failure.
Develop and implement a property risk management system which identifies major property risks including occupational health and safety, fire safety and essential services and environmental
Inform CLIENT of all statutory notices, requirements and regulations from Government, Statutory Boards, or other authorities in relation to the Properties
The role is responsible for full delivery of Facilities Management services at independent site. The purpose of the role is to deliver good quality, cost effective and risk-free office environments and services to customer.
Responsible for managing the day-to-day site operations to ensure the SLAs are delivered as per agreed KPI in the agreement.
Responsible for zero breakdowns and 100% uptime of critical equipment’s in the premises
Strategic review of service, technical services, and supply contracts to determine value for the across the sites Renegotiation and tendering where necessary in accordance with contract.
Manage and control all critical spares for all installations as per manufacturer recommendations and inventory
Coordinate and collation on all R&M requirements quarterly basis.
Follow up for assigned PO, work completion as per PO until invoice submission.
Follow up with Vendor partners for timely submission of compliance document; ensure the services are imparted as per compliance.
Ensure that the team closely liaises with the technical operations team to ensure service standards are maintained
Evaluating service response time and analysing occupant service request trends and suggestions
Ensure feedback from client sessions is recorded and auctioned to the satisfaction of the end user.
Recommending continuous quality improvement practices across the sites.
To co-ordinate and monitoring the contractor management program.
Develop initiatives and strategies that lead to cost savings and eventual profitability of the account. Contribute to global initiatives and take a leading role as required
To lead by example and groom the team in achieving maximum client satisfaction level.
Ensure and complete periodic reporting to meet client expectations and internal requirements as per regional standard.
Ensure that the team delivers meaningful inputs across the region in the development of monthly management reports.
Actively encourage an environment that supports teamwork, co-operation & performance excellence across the site within the account team
Act as manager and a coach for the team ensuring high staff morale, trust, and work ethics.
As part of the management team, ensure there is total teamwork across the across various functions.
Operations Management
To carry out all engineering & operational procedures
Ensure proper functioning of the following system in the facility
To liaise with the vendors for maintenance/service practices of M&E contactors to deliver quality work practices in line with the manufacturer recommendations.
To ensure that all maintenance related schedules & shut down in consultations with OEM & Accenture are followed.
Daily inspection of log books, history card, checklist, escalation charts & PPM schedules etc for a better management of engineering systems
To ensure and guide the technical staff attends & work for closures for all F&S technical related issues in the facility.
To adhere to 52 weeks annual M&E maintenance schedule.
To maintain consistency on agreed SLA & KPI.
To participate during emergency evacuation procedure and manage all health & safety issues. 1Prepare and collate data related to vendor performance and escalate as required.
Ensure proper usage & functioning of facility tool (IMT, Corrigo, VMT, Sites ops modules, Site Inspection Tool) as per defined scope.
Ensure all PM work orders in 360 facility tool are closed and escalate in case of any deviation. Track and close all builder related queries on monthly basis.
Conduct M&E onboarding process, back to Basic as defined.
Ensure all the mandatory trainings are conducted as per schedule and track for attendance.
Coordinate for execution of works related to requests without escalations.
Conduct interview for M&E new joiners.
Ensure 100% usage of online work permit tool and upload incidents in the incident tool.
Proper handing & taking over tabs which are utilized for taking equipment readings.
Conduct central store audit, BMS store audit and BMS audit on monthly basis.
Facility walk around and ensure Walk around map & Guide is followed and maintained.
Follow up for assigned PO, work completion as per PO until invoice submission.
Important and VIP client visits to be coordinated with Events team and should be managed without escalations.
Ensure to support for all client audits /Internal & External audits
To ensure Daily, Weekly, Monthly, Quarterly, Half Yearly & Yearly records are prepared and sent to the chief engineer for all engineering related activities.
To update & maintain all records on daily basis (Log books, History Cards, Equipment details, Service Reports, Incident Reports etc.)
Estate Management
To ensure Daily, Weekly, Monthly, Quarterly, Half Yearly & Yearly records are prepared and sent to the workplace lead for all engineering related activities
Ensure visit and inspect all the critical areas maintained by builder wherever allowed – (Chiller, HT, DG, LT, LMR, STP and pump rooms)
Ensure daily co-ordination with the builder on the diesel / water supply.
Track & ensure all the activities are performed by the builder as per the contract like FAPA test, Façade glass cleaning etc.,
Follow up on all the invoices submission by the builder on time
Intimate on any deviation in builder operation and follow up on closure
Reporting Management
Daily Report – DSR/walk around guide, SLA Report, Engineering report
Weekly report – Major highlights, zonal point, Weekly R&M tracker
Performance objectives
