Sr. Production Executive

Key Responsibilities

1. Event Planning & Execution

• Oversee end-to-end production planning and execution of events.
• Keep healthy relations with the management of the venues to reduce resistance.
• Manage venue timeline, production timelines, vendor coordination, and on-site setups.
• Ensure all setups are executed as per approved layouts, mood boards, and client expectations.

2. Team & Department Management

• Supervise and guide the production team to ensure seamless coordination and execution.
• Ensure strict adherence to all production-related SOPs and reporting formats within the department.
• Conduct regular huddle meetings to align team members and communicate updates.
• Conduct training programs for the production team and ensure skill development.

3. Collaboration, Coordination & Vendor Relations

• Work closely with the Creative Department to bring event concepts to life through feasible production plans.
• R&D for new materials, fabrics backed with sampling and sourcing.
• Collaborate with vendors and other internal departments to ensure smooth and timely execution.
• Build and maintain strong vendor relationships for reliability, quality, and competitive pricing.
• Lead negotiations with vendors to secure the best rates, terms, and services.
• Oversee the alignment and responsibilities of the production team to ensure deadlines and quality standards are met.

4. On-Site Supervision & Safety

• Conduct site visits, recces, and pre-event planning meetings with stakeholders.
• Handle last-minute troubleshooting and real-time problem-solving during events.
• Ensure all safety protocols and compliance standards are followed at the event venue.

5. Reporting & Communication

• Maintain clear communication with the Production Manager(HOD) management to align with company vision.
• Submit weekly and monthly departmental reports to the management.
• Develop new processes or streamline current ones to improve operational efficiency.

6. Cost Negotiation

• Negotiate with vendors and service providers to secure the best rates while maintaining quality and delivery timelines.
• Build and maintain strong working relationships with vendors, labor teams, and fabrication partners.
• Ensure all vendors are onboarded following company guidelines and performance is reviewed periodically.
• Coordinate timely payments and documentation with the accounts team to avoid last-minute issues.
• Cost analysis for the material procurement before the final costing.
• Ensure your on-event expense is correctly filled and submitted to the Accounts Team at least one day prior to the event for cost verification and approval.
• Please make sure all vendors and their final amounts are closed as per the targets shared by the Cost Controller, following the audit of the Cost Analysis Sheet.
• Prepare and maintain accurate cost analysis sheets for all Kahani events, ensuring transparency and budget adherence.Competencies Required for the Role

Education & Experience

• Bachelor’s/Master’s in Event Management, Hospitality, Business Administration, or related field.
• 3–5 years of experience in event production, preferably in weddings, luxury events, or hospitality.

Job Type: Full-time

Pay: ₹30,000.00 - ₹35,000.00 per month

Work Location: In person
