It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.As a UN observer with enhanced status, the EU coordinates the 27 EU Member States so as to speak with one voice. The EU also works closely with the UN Secretariat and its Agencies, funds & programs, partnering on a range of global issues and challenges.
We offer
We are looking for an enthusiastic and service-minded candidate to fill the post of Secretary (Local Agent Group III) to support two Sections of the European Union Delegation. The two sections consists of four people for one and three for the other. It is a 2-year contract, with the possibility of two renewals, leading to a maximum employment term of 7 years under successive fixed-term contracts. Indefinite contract may be offered upon completing the seven-year term.Under The Direct Supervision Of The Two Heads Of Sections, The Local Agent Will Be In Charge Of The Following Tasks, But Not Limited To
- Providing administrative and logistical support to both Sections ;
- Ensuring that staff in both Sections are registered with e-Delegate and relevant Committees ;
- Assisting with the screening and interviewing of interns as well as preparing their traineeship certificates and recommendation letters ;
- Preparing missions (via MIPS), travel booking, claims and reimbursement requests, representation costs, etc. ;
- Preparing and transmitting Notes Verbales and transmission letters to the UN and HQ (via Ares) ;
- Timely distribution of EUNYs and Flash reports produced by the Sections (proofreading, formatting, transmitting, and archiving) and updating of mailing lists; contributing to drafting of reports as needed ;
- Preparing and distributing the weekly report in cooperation with the Assistant of the Section ;
- Contributing to the annual report and preparing the yearly work planning for the Sections ;
- Scheduling of EU coordination meetings, sharing of documentation with EU Member States through the Agora platform, and updating contact list; co-moderator of 2 WhatsApp groups for the Sections ;
- Launching silence and alignment procedures on Agora and finalizing EU statements; distribution of statements; and ensuring proper transmission of statements to the Communications Section for posting on website ;
- Preparing high-level EU-hosted events, including scheduling, room booking, inscription in UN Journal, preparing participation list and seating plans, coordinating interpreting services, catering, notetaking, etc.;
- Preparing the Ministerial Week, Committee sessions, International Week, thematic Week, seminars, meetings and negotiations;
- Attending and reporting on meetings, briefings and conferences held at the UN or the EU Delegation ;
- Providing support to EU officials during their visits in New York, including scheduling bilateral meetings and coordinating their programme; liaising with Delegation Reception to ensure provision of UN badges ;
- Managing the Zoom and Webex accounts of the two Sections.
This job function may be slightly modified in accordance with the needs of the Delegation.We offer a collegial atmosphere in an international environment and work in close coordination within the Administration team in supporting colleagues across the EU Delegation. The office is located at 666 Third Avenue, New York, NY 10017.Salary level ranges is dependent on relevant and verified employment experience, starting from $66K (2 years of experience), $68K (3 years of experience), $78K (10 years of experience) etc.There is a competitive benefits package including annual leave days (24) and public holidays, flexible working hours, health and dental insurance and a retirement savings plan. Working hours are 37.5 per week.The expected start date will be October 1st, 2025.

- Bachelor’s degree
- At least two years’ relevant secretarial experience.
- Must be professional, discreet, and able to safeguard confidential matters discussed by others during performance of duties;
- Excellent organisational skills and flexibility with regard to working hours;
- Excellent communication and interpersonal skills;
- Ability to work autonomously, calmly under pressure and use own judgment and initiative;
- Capacity to work independently, with minimal supervision, as well as part of a team
Ability to listen, to consult and to share information and ideas
- Excellent knowledge of IT tools (word, excel, outlook etc.). Strong proficiency in Microsoft Office and Internet navigation; Ease adapting to new technology quickly.
- Ability to identify and define problems through the gathering of relevant information leading to the development of alternative solutions
- Ability to deal with a varied range of people and working in a multicultural office, as part of an international team;
The Following Will Be Considered An Asset
- Experience working in an EU Delegation and/or UN or any other international institution,
- General knowledge of the EU and of operation of an EU Delegation and/or UN;
- Thorough knowledge of written and spoken English. Knowledge of French.
Any other EU language is an asset
It is important to note that the Delegation of the European Union to the United Nations does not sponsor visas for Local Agents. Applicants must have an existing and valid US work authorization that does not require sponsorship by the Delegation (i.e. EAD card, green card, US citizenship, only G1 or G3 visas for the spouses of EU officials posted at an EU Member State Mission to the United Nations.

The process
After the deadline, the applications will be reviewed by a Selection Committee set up for this purpose. The Selection Committee will prepare a shortlist of candidates who are considered to be the most suitable for the post on the basis of a preliminary assessment of the information provided in the cover letter and resume. The shortlisted candidates will be invited to an assessment phase which will include an interview. During this phase, the selection committee will assess the suitability of the candidates for the post.
