Purchase & Logistics Manager

Job Summary:

Key Responsibilities:

(a) Procurement, Negotiation & Vendor Management:

• Identify, evaluate, onboard vendors for lab reagents, consumables, kits, equipments, & office supplies.
• Negotiate pricing, payment terms, discounts, and delivery timelines to ensure optimal procurement value.
• Manage and nurture vendor relationships; resolve supply issues, delivery delays, and quality concerns.
• Implement procurement strategies focused on efficiency, cost-effectiveness, and compliance with regulatory and quality standards.
• Generate accurate and timely Purchase Orders (POs) and maintain procurement documentation.

(b) Stock & Inventory Management and Develop supply-cum production plan:

• Track and manage inventory levels to prevent stockouts or overstocking.
• Develop proper planning for procurement of supplies related to kit production.
• Conduct regular audits, maintain updated records, and reconcile inventory discrepancies.
• Coordinate with the laboratory team to forecast demand and plan purchases accordingly.
• Ensure safe and compliant storage of sensitive materials as per manufacturer and regulatory guidelines.

(c) Accounts & Budget Management:

• Work with the accounts team to process vendor invoices and ensure timely payment.
• Maintain accurate records of purchase transactions, vendor contracts, and spending reports.
• Assist with procurement budget planning and monitor budget utilization.
• Perform basic data entry and reconciliations related to purchase and expenses.

(d) Create and monitor the performance of the purchasing strategy:

• Create a comprehensive purchase & procurement strategy for different supplies/items, including reagents, kits, consumables and other needs, and ensure timely procurement of all stocks / supplies.
• Devise a purchase strategy that involves periodic rotation of various vendors/ suppliers.
• Periodic Monitoring of the quality standards of the supplied reagents, kits, consumables, & / or performance evaluation, quality standards of the procured instruments/equipments in collaboration with QC team, and maintain the documentation of the same.

(e) Administrative & Compliance Support:

• Oversee maintenance of lab and office facilities by coordinating with service vendors.
• Support general administrative activities to ensure uninterrupted lab operations.
• Ensure compliance with health, safety, and environmental regulations in procurement and inventory practices.
• Maintain procurement and inventory-related documentation as per NABL requirements and support audits or inspections by regulatory bodies.
• Prepare reports on procurement KPIs including cost savings, stock efficiency, and vendor performance.

Qualifications:

Education: - Bachelor’s degree in Commerce &, Accounting/ Supply Chain Management/ or any related field. CA inter- qualified candidates with experience in the relevant field are also eligible to apply.

Master’s degree or other professional certifications (e.g., C.P.M., CPSM) will be an added advantage, but not mandatory.

Experience:

• Atleast 3years' of purchasing experience / prior procurement experience, ideally in molecular diagnostics, pathology labs, pharma, or healthcare research settings.
• Strong Working knowledge of accounting principles and finance workflows related to purchase & sales.
• Working knowledge of Tally/SAP & other accounting ERP software tools.

Skills Required:

• Strong vendor negotiation and contract management skills.
• Good Working Proficiency in procurement and ERP tools (SAP, Oracle, Tally, etc.).
• Advanced Microsoft Excel and data analysis skills.
• Excellent organizational, analytical, and problem-solving capabilities.
• Effective communication and interpersonal skills.
• High level of accuracy, integrity, and reliability.

The ideal candidate will be responsible for identifying and fostering a relationship with our suppliers and vendors. You will also oversee the implementation of the supply and production strategies.
