Job Title: Purchase Manager
Job Summary:
We are looking for a highly organized and experienced Purchase Manager with a strong foundation in procurement and accounts, particularly in a molecular diagnostics lab or similar healthcare/scientific environment. The ideal candidate will be responsible for overseeing procurement activities related to laboratory reagents, consumables, kits, equipment, and administrative supplies. The role involves vendor management, inventory control, cost optimization, and support for accounting functions related to purchases.
Key Responsibilities:
Procurement & Vendor Management: - Identify, evaluate, and onboard vendors for lab reagents, consumables, kits, equipment, and office supplies. - Negotiate pricing, payment terms, discounts, and delivery timelines to ensure optimal procurement value. - Manage and nurture vendor relationships; resolve supply issues, delivery delays, and quality concerns. - Implement procurement strategies focused on efficiency, cost-effectiveness, and compliance with regulatory and quality standards. - Generate accurate and timely Purchase Orders (POs) and maintain procurement documentation.
Stock & Inventory Management: - Track and manage inventory levels to prevent stockouts or overstocking. - Conduct regular audits, maintain updated records, and reconcile inventory discrepancies. - Coordinate with the laboratory team to forecast demand and plan purchases accordingly. - Ensure safe and compliant storage of sensitive materials as per manufacturer and regulatory guidelines.
Accounts & Budget Management: - Work with the accounts team to process vendor invoices and ensure timely payment. - Maintain accurate records of purchase transactions, vendor contracts, and spending reports. - Assist with procurement budget planning and monitor budget utilization. - Perform basic data entry and reconciliations related to purchase and expenses.
Administrative & Compliance Support: - Oversee maintenance of lab and office facilities by coordinating with service vendors. - Support general administrative activities to ensure uninterrupted lab operations. - Ensure compliance with health, safety, and environmental regulations in procurement and inventory practices. - Maintain procurement and inventory-related documentation as per NABL requirements and support audits or inspections by regulatory bodies. - Prepare reports on procurement KPIs including cost savings, stock efficiency, and vendor performance.
Qualifications:
Education: - Bachelor’s degree in Business Administration, Supply Chain Management, Accounting, or related field. - Master’s degree or certifications (e.g., C.P.M., CPSM) is an added advantage.
Experience: - 5–7 years of procurement experience, ideally in molecular diagnostics, pathology labs, pharma, or healthcare research settings. - Working knowledge of accounting principles and finance workflows related to purchasing.
Skills: - Strong vendor negotiation and contract management skills. - Proficiency in procurement and ERP tools (SAP, Oracle, Tally, etc.). - Advanced Microsoft Excel and data analysis skills. - Excellent organizational, analytical, and problem-solving capabilities. - Effective communication and interpersonal skills. - High level of accuracy, integrity, and reliability.
