Job Description

Job Title: Procurement Specialist

Job Summary

The Procurement Specialist is responsible for managing the end-to-end requisition-to-purchase-order (Req-to-PO) process. This role ensures accuracy, compliance with procurement policies, timely execution, and effective stakeholder coordination. The ideal candidate will have hands-on experience with procurement systems (SAP, Ariba), strong attention to detail, and the ability to leverage AI/Copilot tools to enhance workflow efficiency, data quality, and decision-making.

Key Responsibilities

Requisition Management

  • Review and validate Purchase Requisitions (PRs) for completeness, accuracy, and compliance with procurement policies.
  • Ensure correct commodity codes, cost centers, and supplier details are applied.
  • Handle special scenarios such as split accounting or On-Behalf-Of requisitions.

Purchase Order (PO) Creation

  • Convert approved PRs into Purchase Orders in SAP/Ariba.
  • Ensure timely issuance of POs and track acknowledgements from suppliers.
  • Monitor PO status, manage amendments, and process cancellations as required.

Compliance & Approvals

  • Route PRs/POs for appropriate approvals based on dollar thresholds and commodity type.
  • Ensure adherence to organizational procurement policies and approval matrices.

Supplier Coordination

  • Communicate PO details and resolve discrepancies with suppliers.
  • Support supplier onboarding and maintain accurate supplier master data.

Reporting & Analytics

  • Generate and maintain reports on PR/PO status, turnaround times, cycle time, and compliance metrics.
  • Provide insights to management on spend patterns, compliance gaps, and process improvements.

Process Improvement & AI/Copilot Enablement

  • Identify opportunities to streamline Req-to-PO workflows and reduce cycle time.
  • Collaborate with category managers and procurement operations to implement best practices.
  • Use Copilot/AI tools for:
  • Auto-validating PR/PO data for accuracy and policy compliance.
  • Identifying exceptions or potential issues.
  • Predicting cycle-time delays and recommending corrective actions.
  • Summarizing supplier communication and PO history.
  • Automating routine status updates and report generation.

Qualifications

  • Bachelor’s degree in Business, Supply Chain Management, or related field.
  • 2–5 years of experience in procurement operations or supply chain.
  • Proficiency in SAP, Ariba, and e-procurement tools; familiarity with AI/Copilot tools is a plus.
  • Strong analytical, communication, and stakeholder management skills.
  • Detail-oriented with the ability to work in a fast-paced, dynamic environment.
