Job Title: Operation Manager

Job Description: We are seeking a highly motivated, energetic, and experienced Operation Manager to oversee the daily operations of our dynamic shared office space. The manager will be responsible for creating a collaborative and positive work environment, ensuring that all facilities run smoothly, and providing exceptional customer service to our members. This is an exciting role that requires strong organizational skills, excellent communication abilities, and the ability to build relationships with clients, vendors, and staff.

Key Responsibilities:

1. Space Management:

  • Oversee the daily operation of the co-working space, ensuring all amenities are functioning properly.
  • Ensure cleanliness, maintenance, and comfort of the facilities.
  • Manage booking and allocation of meeting rooms, event spaces, and workstations.
  • Implement and oversee building security protocols and health & safety regulations.

2. Member Services & Customer Support:

  • Provide excellent customer service to all members, addressing inquiries, requests, and concerns in a timely and professional manner.
  • Act as the main point of contact for existing and potential clients, offering tours and explaining membership packages.
  • Help facilitate member introductions and foster a strong community atmosphere.
  • Implement and monitor membership onboarding processes, ensuring smooth transitions for new members.

3. Operations & Administrative Management: o Manage day-to-day operational tasks including procurement, inventory management, and ordering office supplies. o Handle billing and payment processing for members. o Maintain records of contracts, agreements, and payments. o Coordinate with vendors for facility maintenance, IT support, cleaning services, etc.

4. Community Building & Engagement:

  • Organize and host networking events, workshops, and social gatherings to engage the community.
  • Build and maintain relationships with local businesses, startups, and freelancers.
  • Develop initiatives to improve member satisfaction and retention.

5. Sales & Marketing:

  • Support business development efforts by identifying potential leads and working to convert them into members.
  • Help develop and implement marketing strategies to attract new members.
  • Collaborate with the marketing team on promotional activities and campaigns.

6. Team Leadership & Staff Management:

  • Supervise and guide support staff (e.g., receptionists, cleaners, maintenance staff).
  • Foster a team environment and ensure that staff are trained and motivated to meet operational goals.
  • Handle employee schedules, performance reviews, and any staffing needs.

7. Reporting & Budgeting:

  • Track financial performance and ensure the space meets revenue goals.
  • Prepare regular reports on occupancy rates, member satisfaction, and financial performance.
  • Assist with budget planning and cost control measures.

Qualifications:

  • Bachelor’s degree in Business, Hospitality, or a related field (preferred). 
  • 1-2 years of experience in facility management, customer service, or operations management (preferably in a co-working, hospitality, or real estate environment).
  • Strong leadership and people management skills.
  • Excellent communication, interpersonal, and negotiation skills.
  • Proficient in MS Office Suite, CRM software, and basic financial management tools.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Detail-oriented with a proactive and problem-solving attitude.
  • Familiarity with co-working space culture and community-building practices is a pl plus.

Working Conditions:

  • Flexible working hours, including occasional evening and weekend events.
  • The role requires active engagement with both the team and clients, so a personable and approachable attitude is essential.
  • This position will require on-site presence at the co-working space.

Job Type: Full-time

Pay: ₹15,000.00 - ₹25,000.00 per month
