About the Role

As an Operations Associate, you will be the bridge between our internal production teams and external partners. Your role is central to partner sourcing, relationship management, contracting, financial operations, and ensuring operational efficiency. You’ll help us scale by onboarding new partners, negotiating terms, and ensuring they deliver on target, on time, every time.


Key Responsibilities

  • Partner Hunting & Sourcing:

    Identify, research, and reach out to potential partners (local & international) to expand our partner network.
  • Partner Onboarding:

    Manage the end-to-end onboarding process: vetting the partners for quality, capabilities, and compliance; coordinating necessary information, samples, and technical setup.
  • Partner Negotiation:

    Negotiate rates, deadlines, revisions, payment terms, and other contract terms with partners to optimize cost, quality, and turnaround time.
  • Partner Communication & Relationship Management:

    Maintain regular and clear communication with partners, building long-term healthy relationships, resolving issues, and fostering collaboration.
  • Day-to-Day Follow-ups:

    Track task progress, ensure milestones are met, revisions are done properly, and deadlines are adhered to. Act as an escalation point if bottlenecks occur.
  • Contract Management & Signing:

    Draft, review, negotiate, and ensure execution of contracts, NDAs, service agreements, etc. Maintain contract repository.
  • Invoices & Payment Clearance:

    Receive, validate, and process the invoices; coordinate with finance to ensure on-time payment; ensure accuracy in billing.
  • Meeting Targets & KPIs:

    Responsible for targets such as the number of new partners onboarded, cost savings, quality metrics (revisions, errors), turnaround times, partner satisfaction, utilization rates, etc.
  • Data & Reporting:

    Maintain accurate records in Google Sheets (or equivalent tools), prepare dashboards/reports to track performance, financials, delays, and risks.
  • Continuous Improvement:

    Identify process gaps, propose improvements & best practices; streamline workflows; adopt automation or tools as needed.


Required Skills & Qualifications

  • 2-4 years of operations/agency/vendor management experience (preferably in media, localization, dubbing, or related fields).
  • Strong negotiation skills.
  • Excellent verbal & written communication

    : ability to correspond professionally with external partners, internal stakeholders, and senior leadership.
  • High proficiency in Google Sheets:

    ability to manage large datasets.
  • Highly organized, detail-oriented, able to multitask and prioritize under tight deadlines.
  • Problem-solving mindset:

    proactive in identifying risks, resolving issues.
  • Comfortable working in a fast-paced, deadline-driven environment; good at follow-ups and pushing things forward.
  • Basic understanding of financial operations and invoicing processes.



Good to have

  • Experience with automation tools or workflow tools (e.g., Asana, Monday.com, Trello, Airtable, Krock).
  • Familiarity with data analytics & reporting tools (Power BI, Tableau, Google Data Studio).
  • Knowing localization/audio/video workflows and quality standard metrics.
  • Cultural sensitivity and language awareness when dealing with international partners.
