Role Overview
We are looking for a dynamic and detail-oriented
HR & Admin Executive
to support our people operations and office administration. This role is ideal for someone who thrives in a fast-paced environment and is confident in managing employee travel, coordinating with vendors, and supporting HR processes with excellent communication and organizational skills.
Key Responsibilities
HR Coordination
- Assist with end-to-end onboarding and exit formalities for employees.
- Work internally for laptop allocation, ID cards, and workspace readiness.
- Support employee engagement initiatives, birthday/anniversary celebrations, and off-site events.
Administrative Support
- Serve as the main point of contact for external vendors, service providers, and facility management.
- Manage office supplies, pantry stock, equipment, and courier/dispatch requirements.
- Maintain and manage internal records, invoices, and documentation logs efficiently.
- Prepare MIS reports and share weekly summaries with the management team.
- Coordinate with finance and other departments on administrative needs.
Travel Desk & Conference Support
- Book and manage travel arrangements for employees attending conferences, client visits, or other events.
- Ensure all travel bookings (flights, hotels, local transport) are optimized for cost, comfort, and safety.
- Maintain records of travel expenses and reimbursements.
- Provide timely assistance in generating travel letters and visa documentation support if needed.
Must-Have Skills
- Excellent written and verbal communication skills in English.
- Strong vendor coordination and negotiation skills.
- Ability to handle multiple responsibilities efficiently with attention to detail.
- Proficient in MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Proven experience managing travel logistics for employees.
- Strong organizational and documentation abilities.
- Ability to manage sensitive information with discretion and professionalism.
Preferred Qualifications
- Bachelor’s or Master’s degree in Human Resources, Business Administration, or related field.
- 2+ years of experience in an HR/Admin/Coordinator role.
- Experience working in a hybrid or IT company setup.
- Familiarity with HRMS platforms like Keka or any other HRMS tool
- Event coordination or employee engagement exposure is a plus.
