Position Overview

We’re looking for a fiercely proactive, street-smart, highly organised, and relentlessly driven Executive Assistant & HR Associate. This position primarily (80%) supports our Co-founder directly, managing executive tasks, calendars, communications, and proposals independently. The remaining role (20%) involves streamlined HR processes within our compact, agile team environment.

About Our Co-founder (Your Direct Reporting) - Mayank

You will closely collaborate with our Co-founder, Mayank, a high-energy leader known for his relentless drive for excellence, strong strategic vision, and unwavering commitment to professionalism. Mayank operates in an intense, fast-paced environment, often working beyond traditional hours, driven by passion and high standards. While his expectations are high, candidates should be prepared for direct feedback, occasional intensity, and must possess strong emotional resilience and adaptability.

Key Responsibilities

Executive Assistance (80%):

• Proactively manage complex calendars, prioritise tasks effectively, handle emails independently, and draft critical communications.
• Prepare persuasive proposals, follow up proactively, and manage crucial documentation rigorously.
• Act as the primary liaison between the Co-founder and internal/external stakeholders, ensuring clear and effective communication.
• Manage travel logistics, event planning, and coordination of internal meetings efficiently.
• Create impactful presentations and detailed reports.
• Exhibit exceptional ownership and accountability, proactively managing tasks without requiring frequent oversight.

Human Resources (20%):

• Coordinate recruitment processes, onboarding, employee engagement initiatives, and maintain accurate HR documentation.
• Manage attendance, leave tracking, and basic payroll coordination effectively.
• Contribute positively to maintaining a supportive and productive team environment.

Qualifications & Skills Required

• Minimum 1 year of experience as an Executive Assistant or similar demanding administrative roles.
• Bachelor’s degree in Business Administration, Communications, HR, or related fields.
• Exceptional English proficiency (verbal and written).
• Outstanding organizational skills and meticulous attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Emotional resilience and adaptability to thrive in high-pressure scenarios.
• Ability to work independently, efficiently, and proactively without micromanagement.
• Demonstrable discretion, trustworthiness, and integrity.

Preferred Attributes (Highly Valued)

• Prior experience within a creative agency or startup environment.
• Proven capability to independently handle tasks and manage multiple priorities.
• Familiarity with task management software (e.g., Trello, Asana, ClickUp) is highly desirable.
• High initiative and strong follow-up skills, demonstrating genuine ownership and accountability.
