Job Title: Executive Assistant to Directors Experience Required: 2-5+ Years (Preferred) Location: Jaipur Employment Type: Full-Time About Mangal Electrical Industries Ltd. As we continue to expand, we are seeking a dedicated Executive Assistant to the Directors to support our leadership team in managing daily operations, strategic initiatives, and administrative responsibilities. Job Summary: We are looking for a highly organized and proactive Executive Assistant with 2-5+ years of experience to provide comprehensive support to our Directors. This role requires excellent communication, multitasking, and problem-solving skills to manage schedules, coordinate meetings, handle communications, and oversee key administrative functions. The ideal candidate must have a keen eye for detail, a high level of discretion, and the ability to streamline operations for maximum efficiency. Key Responsibilities: Calendar & Schedule Management: ● Manage and optimize the Directors’ calendars, scheduling meetings, appointments, and travel arrangements. ● Proactively adjust schedules to accommodate shifting priorities and provide timely updates. Meeting & Communication Support: ● Organize and prepare materials for meetings, including agendas, reports, and presentations. ● Attend key meetings, take minutes, track action items, and ensure timely follow-ups. ● Act as a point of contact between the Directors and internal/external stakeholders, handling inquiries with professionalism. ● Draft, review, and send communications on behalf of the Directors, including emails, reports, and internal memos. Travel & Logistics Management: ● Arrange and coordinate domestic and international travel plans, accommodations, and itineraries. ● Manage expense reports and budget tracking related to travel and other business activities. Documentation & Data Management: ● Maintain and organize important records, contracts, and confidential documents. ● Prepare briefing notes, research documents, and reports to assist in decision-making. Project & Task Management: ● Assist in executing special projects, business initiatives, and event planning. ● Coordinate with various departments and external vendors to ensure smooth office operations. ● Manage office supplies and resources for Directors’ office requirements. Qualifications & Requirements: ● Bachelor’s degree in Business Administration, Management, or a related field. ● 2-5+ years of experience as an Executive Assistant, preferably supporting senior leadership or Directors. ● Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). ● Strong written and verbal communication skills. ● Excellent organizational and time-management abilities. ● High level of discretion and confidentiality in handling sensitive business matters. Preferred Skills: ● Experience with office management software, project management tools, and CRM systems. ● Strong interpersonal skills to collaborate effectively with internal teams and external partners. ● Problem-solving mindset with the ability to handle multiple priorities in a fast-paced environment.
