Role Responsibilities Manage scheduling and appointments for the CEO to optimize time management and efficiency. Answer and direct phone calls with professionalism and confidentiality. Organize and prepare meeting agendas and materials for executive meetings. Take detailed minutes during meetings and distribute them among stakeholders. Coordinate travel arrangements including flight bookings, hotel accommodations, and itineraries. Prepare and edit correspondence, reports, and presentations for executive-level meetings. Maintain and update filing systems ensuring easy access to important documents. Serve as the primary point of contact between the CEO and internal/external stakeholders. Assist in project management by tracking deadlines and deliverables. Collaborate with various departments to facilitate communication and project progress. Conduct research and prepare reports as requested to support the CEO’s strategic initiatives. Handle sensitive information with discretion and confidentiality. Provide administrative support in various organizational projects as needed. Monitor office supplies and coordinate procurement to ensure smooth operations. Support the CEO in achieving strategic priorities by proactively managing tasks. Qualifications Bachelor’s degree in Business Administration or related field. Proven experience as an Executive Assistant or in a similar administrative role. Exceptional organizational and time management skills. Strong written and verbal communication abilities. High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to manage multiple priorities in a fast-paced environment. Experience in project coordination and management. Familiarity with office management procedures and basic accounting principles. Strong problem-solving skills with a detail-oriented approach. Ability to maintain confidentiality and handle sensitive information. Excellent interpersonal skills for effective communication with diverse groups. Ability to work independently and as part of a team. Flexibility to adapt to changing priorities and unexpected challenges. Proficiency in creating engaging presentations and reports. Experience with scheduling and coordinating events.
